Record who can access a project, who approves that access, and when it should end. Use this worksheet for subcontractors, consultants and other project collaborators.
Use it when a project starts, changes or closes
Project folders often outlast the people who needed them. A supplier finishes a job, a consultant changes roles, or an employee moves to a new project while their old access stays in place. This worksheet gives the project owner and the person managing access a shared record to review.
- Name the owner. Record the person who can approve project access and decide where the final archive belongs.
- List the access. Add one entry for each collaborator and permission set. Be specific about the folder or system and whether they can view, edit or administer it.
- Set dates before granting access. Choose a review date and a planned removal date. Revisit them when the project schedule or a collaborator’s role changes.
- Verify closeout in the actual systems. Review accounts, group membership and sharing links. Record who confirmed removal and when, then keep the completed worksheet with the project record.
Filling in this sheet does not change permissions. The person responsible for your systems must make and verify those changes. Record folder names and responsibilities here; keep passwords and access keys in your approved password manager.
