Microsoft 365 Management & Backup
It is a common assumption that Microsoft backs up your Microsoft 365 data. It does not. Microsoft's shared responsibility model puts the service on Microsoft and the data on you — which is the half companies tend to discover after a mailbox, a SharePoint library, or a departed employee's files are already gone. NetSys manages the whole tenant: migration, security configuration, licensing, Exchange, Teams, and SharePoint, plus independent cloud-to-cloud backup of the email and files Microsoft's retention windows will not bring back.
The short answer
Microsoft 365 managed services cover the whole tenant: migration, security configuration, licensing, Exchange, Teams, and SharePoint — plus the piece that is easiest to overlook, because Microsoft does not back up your Microsoft 365 data. Under Microsoft's own shared responsibility model, Microsoft is responsible for keeping the service running; you are responsible for the data inside it. Native retention is an undo button with a deadline — deleted items age out, ransomware encrypts files that sync straight into OneDrive and SharePoint, and a departed employee's content can disappear along with their license. NetSys adds independent cloud-to-cloud backup with point-in-time restores we test.
We've been deploying and managing Microsoft platforms since the on-premise Exchange era, and Microsoft 365 is where most of our clients' daily work happens now. That depth matters: a tenant configured by generalists works; a tenant configured by people who do this constantly is secure, compliant, and costs less per seat.
Management and protection belong together, so this service pairs day-to-day administration with independent cloud-to-cloud backup of Exchange, SharePoint, OneDrive, and Teams data.
Managed Like Infrastructure, Because It Is
Your Microsoft 365 tenant is business-critical infrastructure and we treat it that way: hardened configuration, monitored sign-in activity, controlled licensing, tested restores. No set-and-forget, no surprise bills, no discovering after an incident that 'retention' didn't mean 'backup.'
What We Manage
Migration & Tenant Setup
Moving to Microsoft 365 — or rescuing a tenant that grew without a plan.
- Migration from on-premise Exchange, Google Workspace, or another tenant
- Phased cut-over with parallel-run validation
- Identity design: MFA, SSO, conditional access
- Domain, DNS, and mail-flow configuration
Security & Compliance Configuration
The default tenant settings are not the secure ones.
- Multi-factor authentication enforcement
- Email threat protection, anti-phishing, and spam filtering
- Data loss prevention and sharing policies
- Sign-in monitoring and anomaly alerts
Cloud-to-Cloud Backup
An independent, restorable copy of your Microsoft 365 data — separate from Microsoft.
- Exchange mailboxes, SharePoint, OneDrive, and Teams data
- Automated backup schedules with monitoring
- Point-in-time restores of items, mailboxes, or sites
- Retention that survives departed employees and deleted licenses
Day-to-Day Administration
The platform work your team shouldn't have to learn.
- Exchange Online and SharePoint management
- Teams configuration and governance
- User onboarding and offboarding
- License right-sizing and renewal management
Shared Responsibility, Spelled Out
Microsoft's model divides the work. Knowing which half is yours is the entire point.
- Microsoft's half: service uptime, infrastructure, and data-center security
- Your half: your data, your identities, your permissions, your devices
- Retention is a delete-undo on a timer, not a restorable backup
- Files encrypted by ransomware sync into OneDrive and SharePoint as encrypted files
- We cover your half: independent backup, tested restores, and configured controls

Microsoft 365 Management & Backup FAQs
Doesn't Microsoft already back up Microsoft 365?
Microsoft keeps your service running and offers limited retention windows — but deleted items age out, ransomware can encrypt synced files, and a departed employee's data can vanish with their license. Cloud-to-cloud backup keeps an independent copy under your control. It's the same model we used for the law office we moved to Microsoft 365.
Can you migrate us from on-premise Exchange or Google Workspace?
Yes. We plan first, migrate in phases, and validate every mailbox and document before cut-over — our migrations have a 100% data-fidelity record, including the law-office migration where zero items were lost.
Do you handle licensing?
Yes — we right-size licenses to how people actually work, retire unused seats, and manage renewals. License waste is one of the most common savings we find in a new tenant review.
What about Copilot?
We help you decide whether Copilot is worth it for your roles, prepare tenant permissions so it doesn't surface files people shouldn't see, and roll it out with usage policies — the same security-first approach as our broader AI services.
What is the Microsoft 365 shared responsibility model?
It is Microsoft's own division of labor, and it is worth reading before you assume anything. Microsoft is responsible for the infrastructure, uptime, and physical security of the service. You are responsible for your data, your accounts and identities, your access permissions, and your devices. Backup sits squarely on your side of that line, which is why an independent copy is part of every tenant we manage.
How long does Microsoft keep deleted email and files?
Long enough to fix an accidental delete you catch the same week — not long enough to be a backup. Retention windows are limited and configurable, items age out on a timer, and a mailbox deleted along with its license takes its contents with it. If you need the copy to still be there next quarter, or when a matter or audit surfaces two years from now, that copy has to live outside Microsoft's retention.
What is included in Microsoft 365 managed services?
Tenant administration and security configuration, user onboarding and offboarding, Exchange Online, SharePoint, OneDrive and Teams management, license right-sizing and renewals, email threat protection, sign-in monitoring, and independent cloud-to-cloud backup with tested restores. Managed clients also get day-to-day user support; co-managed clients keep the helpdesk in-house and hand us the platform.
Can you support Microsoft 365 if another provider handles the rest of our IT?
Yes. We take the tenant, they keep the rest — the same arrangement as our co-managed clients. The split gets written down first, so there is never a question about who owns an account, a license, a mail-flow rule, or the phone when mail stops delivering.
What happens to a departed employee's mailbox and files?
Handled properly: the mailbox is converted or archived, OneDrive content transfers to their manager, access is revoked the same day, and the license is reclaimed instead of quietly renewing. Handled carelessly — deleting the account to free a seat — the data goes with it. Our offboarding process covers both the access and the data, and backup keeps a copy either way.
Does Microsoft 365 protect us from ransomware?
It helps, and it is not enough. Files encrypted on a laptop sync up into OneDrive and SharePoint as encrypted files. Version history buys you something for a handful of documents, but restoring an entire tenant that way is slow and incomplete. The reliable answer is an independent backup you can restore from at a point in time before the encryption started.
