IT Support for Property Management Companies and Real Estate Firms
Real estate moves money by email, and criminals know it. A closing can be lost to a single altered wiring instruction, a tenant portal holds Social Security numbers and bank accounts, and every leasing office has its own router, its own printer and its own way of doing things. NetSys provides IT support for property management companies, brokerages and owner-operators. The offices get one standard, the email gets defended against the fraud that targets closings, and tenant data gets the protection the data deserves.
The short answer
NetSys provides IT support for property management companies, real estate brokerages and investment owners: help desk and 24/7 monitoring across every office and property site, email defense and payment verification procedures aimed at closing and rent-payment wire fraud, tenant and applicant data protected with multifactor authentication and managed endpoint detection, property management platforms and portals kept patched and backed up, and building systems such as access control and cameras placed on their own segmented networks. Privileged access management, disaster recovery planning and AI automation for maintenance intake, lead follow-up and lease renewals are included in one month-to-month agreement. Where a firm brokers mortgages or handles settlements, we implement the FTC Safeguards Rule controls that apply.
Sound familiar?
- Wiring instructions changed by a criminal who read the deal thread for weeks before the closing
- Tenant applications with Social Security numbers, pay stubs and bank details sitting in shared mailboxes
- Six leasing offices, six routers, six ways to connect, and no one who knows the passwords to all of them
- Agents on personal laptops and phones with company data and no way to wipe them
- Access control, cameras and smart building panels on the same network as the office PCs
- A property management platform that everyone logs into with the same account
Closing and Payment Fraud, Stopped
- Email authentication (SPF, DKIM, DMARC) so your domain cannot be spoofed at a title company
- Advanced email filtering tuned for lookalike domains and thread hijacking
- A written wire verification procedure and staff training that covers voice and video impersonation
- Banking and portal logins protected by multifactor authentication and a password manager
Every Office, One Standard
- Standardized firewalls, Wi-Fi and switching at every leasing office and management site
- Building systems such as access control, cameras and intercoms on segmented networks
- Cellular failover so a leasing office keeps working when the cable line does not
- Onboarding and offboarding for agents, property managers and maintenance staff
Tenant and Owner Data, Protected
- Attributable logins and role-based access to the property management platform
- Managed endpoint detection on company and enrolled personal devices, with remote wipe
- Encrypted email for applications, leases and owner statements
- Retention and disposal rules for screening reports, aligned to what the law allows you to keep
Portals, Backups and Automation
- Immutable backups of documents, accounting data and Microsoft 365, with restores timed
- SharePoint structured by property and by owner so files stop living in inboxes
- AI automation for maintenance requests, showing scheduling and lead follow-up
- Owner reporting assembled from your systems rather than retyped each month
IT support for a property management company after a near-miss wire
A composite example of work we do, written so you can picture the first 90 days. It is not a specific client — our real, named engagements are in case studies.
The firm managed a few thousand units across several buildings and ran a small brokerage on the side. A closing nearly went wrong when a buyer received wiring instructions from an address one letter off from the firm's domain; the buyer called to confirm, which is the only reason the money did not move. Separately, the maintenance team shared one login to the property platform, the cameras at two buildings were reachable from the office network, and offboarding meant asking a departed agent to please delete the files.
- Email authentication set to enforce, filtering tuned for lookalike domains, and a wire verification procedure that requires a call to a known number
- Individual logins with multifactor authentication on the property management platform, with maintenance staff limited to work orders
- Building systems moved to their own network segments with no path back to office PCs
- Company data on agents' phones and laptops brought under device management with remote wipe
- Immutable backups of accounting, leases and mailboxes, and a SharePoint library per property
The next lookalike email was quarantined before anyone read it. Departed agents lose access the hour they leave. Owners get statements from a system with an audit trail, and the firm can say who touched a tenant file and when.
Real Estate & Property Management IT FAQs
Do you provide IT support for property management companies with multiple offices?
Yes. Multi-office is the typical case: a central office, several leasing or management sites and staff who move between them. Each site gets the same firewall, Wi-Fi and switching standard, monitored from one place, with failover where a site cannot afford to lose internet. Staff log in the same way everywhere, and a new site opens from a documented build rather than whatever the local cable installer left behind.
How do we stop wire fraud on closings?
Assume the email thread is being read. Set email authentication to enforce so your domain cannot be spoofed, filter for lookalike domains, and adopt a written rule that wiring instructions are confirmed by calling a known phone number, never a number in the email. Train staff on voice and video impersonation, which now reaches property managers as well as executives. We put the technical controls in and run the training; the procedure has to be followed by people.
Does the FTC Safeguards Rule apply to real estate companies?
It applies to businesses the rule treats as financial institutions, which includes mortgage brokers and companies providing real estate settlement services. A pure brokerage or management company is generally outside it, though state privacy laws still cover tenant and applicant data. If any part of your business arranges financing or handles settlements, we implement the Safeguards controls: risk assessment, access controls, encryption, multifactor authentication and an incident response plan.
Can you secure the cameras and door systems at our buildings?
Yes. Building systems ship with default passwords and old firmware, and they often end up reachable from the office network or the open internet. We put them on their own segments, change the defaults, restrict who can reach the management interfaces and keep firmware current where the vendor allows it. Camera and access control vendors stay involved; we make sure their access is named and logged.
What can AI automation do for a property management company?
The best fits are repetitive intake and follow-up: maintenance requests triaged and routed to the right vendor, showing requests scheduled without a leasing agent trading emails, renewal notices assembled from lease data and lead follow-up that answers within minutes instead of the next morning. We build these on Microsoft tools and automation platforms you already pay for, and we keep tenant data inside your systems rather than a third-party bot.
Is there a long-term contract?
No. Property management firms sign the same month-to-month agreement as every NetSys client. Sites can be added as buildings are acquired and removed as they are sold, and the fee moves with the headcount. Firms that inherited a multi-year contract from a previous provider usually find the difference obvious within the first quarter.
