The short answer
Microsoft 365 backup is an independent copy of your tenant's data (Exchange Online mailboxes, OneDrive files, SharePoint sites and Teams content) stored outside the tenant and restorable to any point in time within its retention. It exists because Microsoft's shared responsibility model makes Microsoft accountable for the service and the customer accountable for the data, and because the built-in tools, such as the Recycle Bin, deleted-item retention and retention policies, were designed for compliance and short-term recovery, not for rebuilding a mailbox after ransomware. The call usually comes months after the damage. A partner left in the spring, the mailbox was deleted after the standard thirty days, and now a client dispute needs an email from two years ago. Or ransomware on one laptop synced encrypted files up to OneDrive and the version history was overrun before anyone noticed. The gap was the assumption that Microsoft was keeping a copy.

Does Microsoft back up Microsoft 365 data?
Not in the sense a business means when it asks. Microsoft replicates data across data centers so the service survives hardware failure, and it provides recycle bins, deleted-item retention and retention policies. None of those is a point-in-time copy you control. Once a retention window passes, or an attacker with admin rights purges holds, the data is gone.
What is the difference between retention policies and backup?
Retention policies keep content inside the tenant for a defined period so it cannot be permanently deleted, which serves compliance and eDiscovery. Backup is a separate copy stored elsewhere that can rebuild a mailbox or site to how it looked on a given day. Retention does not protect against a compromised admin, does not restore a whole structure quickly, and stops applying when licenses lapse.
Do we need Microsoft 365 backup if we already have a disaster recovery plan?
A disaster recovery plan that does not include the tenant is incomplete, because for most small businesses the tenant is where the business lives. Server backups do nothing for a deleted SharePoint site. We build Microsoft 365 backup into the disaster recovery plan as one of its components, with recovery time objectives set for mail and files alongside servers and applications, so the plan covers the systems people use every day.
How often is Microsoft 365 backed up?
Daily is the default we set for every workload, with more frequent mailbox snapshots available where a firm's tolerance for lost email is low. The schedule is a policy decision we make with you based on how much work you can afford to redo. New users, sites and teams are added to the schedule automatically, so protection does not depend on someone remembering to enroll them.
What does Microsoft 365 backup cost?

Should we use Microsoft's own backup product or a third-party tool?
Microsoft now sells a backup service of its own, and it restores quickly because the data stays inside Microsoft's infrastructure. The trade-off is that the copy lives with the same provider and under the same tenant administration. We favor an independent copy for businesses whose main concern is a compromised tenant, and we will use Microsoft's service where speed of restore for very large sites matters more. The choice is made per client, in writing.
