What could managed IT cost your organization?
General business budgets start at $85–$195 per user per month in this guide. Specialist sectors have their own bands, including up to $280 for high-risk work. The calculator gives a lower-to-middle planning window within the relevant band; it is not a NetSys price or commitment.
Managed IT budgeting by industry
These indicative planning bands were supplied by NetSys from its industry experience and reviewed October 25, 2026. They are guidance for comparing scopes, not a certified market average. Actual provider prices can sit outside them.
| Organization | Monthly budget per user | Scope to compare |
|---|---|---|
| General business | $85–$195 | A general starting point; the specialist bands below can be higher. |
| Retail | $85–$115 | Retail users, workstations and the agreed business systems. |
| Healthcare | $110–$155 | Healthcare support with the data, recovery and security responsibilities defined. |
| Finance, wealth management and SEC-regulated firms | $140–$180 | Financial-services support and the agreed security and regulatory evidence work. |
| Nonprofits | $85–$100 | Support matched to the organization's actual systems and funding priorities. |
| Government-facing or high-risk organizations and individuals | $140–$280 | Organizations working with government agencies, sensitive agencies or individuals with a high risk profile. |
| Private equity, venture capital and commercial real estate | $170–$205 | Investment and property organizations, including the agreed executive-support needs. |
Subscription bundles differ. Ask whether the per-seat charge includes Microsoft licenses, antivirus and other security tools, then compare one-time work and exclusions separately. NetSys builds a written quote around the systems and support the organization actually needs, aiming to keep the cost manageable.
From a planning estimate to a useful quote
Bring a user and device inventory, the systems that must stay available, and your current bills. A quote should state the recurring support fee, license inclusions, onboarding, on-site arrangements and any project work. A recovery plan or a systems map can involve separate discovery or remediation; a checkmark here does not promise that work is included in a monthly agreement.

Managed IT cost calculator questions
How much should I budget for managed IT?
Use $85–$195 per user per month as a general planning starting point. The sector matters: retail is $85–$115, healthcare $110–$155, finance and SEC-regulated firms $140–$180, and nonprofits $85–$100. Private equity, venture capital and commercial real estate use $170–$205; government-facing and high-risk work can reach $140–$280. These are NetSys's indicative budgeting bands, not an independent industry average or a NetSys quote.
Does the calculator include Microsoft licenses and antivirus?
Providers bundle subscriptions differently. Microsoft or Google licenses, antivirus and other security subscriptions may sit inside a per-user fee or on separate invoice lines. Compare the exact inclusions. This tool does not add a subscription or cloud hosting bill to the support estimate.
How do cloud servers differ from cloud apps in this tool?
Google Workspace and Microsoft 365 are cloud application suites, not on-premises servers. A server hosted in Microsoft Azure is a cloud server with its own configuration and management work. Select the option that describes your environment; the tool changes its planning assumptions, but does not calculate your Azure hosting bill.
Why does the estimate use the lower to middle part of a band?
It is a starting-budget tool. The full reference band remains visible, while the planning result moves from the lower part toward the midpoint as you add server, on-site, recovery and documentation needs. A provider may quote above this window after discovery. The calculation method is shown beside the result.
How does the annual staffing comparison work?
For fully outsourced budgets, the message changes below $60,000, from $60,000–$100,000, $100,000–$150,000, $150,000–$200,000 and at $200,000 or more. It uses the upper end of your annual estimate and the cited U.S. salary benchmarks to put shared team coverage in context. Hybrid and in-house selections instead explain the outside-provider portion. The comparison does not calculate a guaranteed saving or promise that a managed service replaces an executive role.
