ChatGPT Plus and ChatGPT Pro are personal subscriptions: one person owns the account, pays for it and controls its data settings, including whether chats are used to train OpenAI's models. ChatGPT Business (formerly ChatGPT Team) is a company workspace: the company owns it, pays per seat ($25 per user per month, or $20 billed annually, for a Standard seat as of October 2026), adds and removes staff, and the workspace's data is excluded from model training by default. For any company with two or more people using ChatGPT for work, Business is the plan to measure against, and the data controls, not the model access, usually decide it.
This is a decision inside the ChatGPT product line. If you are still choosing between vendors, read ChatGPT vs Microsoft Copilot for small business first. If you already know you need a workspace and want to know what it costs end to end, see ChatGPT Business pricing, setup and ongoing costs.
What is the difference between ChatGPT Plus, Pro and Business?
OpenAI's ChatGPT pricing page and business pricing page are the references. As of October 2026:
| ChatGPT Plus | ChatGPT Pro | ChatGPT Business | |
|---|---|---|---|
| Who owns it | The individual | The individual | The company, through workspace owners |
| Price | $20 per month | From $100 per month, in three usage tiers ($100, $200 and $500) | Standard seat $25 per user per month, or $20 billed annually; Premium seat $125, or $100 billed annually |
| Seats | One | One | Minimum 2, maximum 200 paid seats per subscription; Standard and Premium can be mixed |
| Billing | Monthly, card | Monthly, card | Monthly or annual, card; no invoices or purchase orders on the self-serve plan |
| Training on your content | On unless the user turns it off | On unless the user turns it off | Not used for training by default |
| Admin console, roles, bulk member management | No | No | Yes: Owner, Admin, Analytics Viewer and Member roles |
| SAML SSO and domain verification | No | No | Yes (SAML and OIDC); no SCIM |
| Creating custom GPTs | Not available on personal plans | Not available on personal plans | Yes, until custom GPTs retire on December 11, 2026 in favor of plugins |
| Context window (Instant / Reasoning) | 54K / 256K tokens | 128K / 400K tokens | 54K / 256K tokens |
| SOC 2 Type 2 report | No | No | Yes |
| When the person leaves | The account and its history go with them | The account and its history go with them | The seat is reassigned; chats and files stay in the workspace |
Two rows do most of the work. Training on your content is off by default on Business and on by default on Plus and Pro. And ownership: on a personal plan the company has no admin access at all, so it cannot remove access, recover work or even confirm which settings an employee chose.
Is ChatGPT Business the same as ChatGPT Team?
Yes. OpenAI renamed ChatGPT Team to ChatGPT Business on August 29, 2025. Existing Team workspaces became Business workspaces with no migration or new subscription, and invoices began listing ChatGPT Business. OpenAI's What is ChatGPT Business article notes that the rename did not change the plan, but that pricing and seat options have changed since, so Team prices quoted on older pages are out of date. Plus or Pro against Team is the same comparison as this page.
Who owns the account and the work on each plan?
A Plus or Pro subscription belongs to whichever email address signed up for it. When an employee uses a personal account for work, the prompts they refine, the projects they build and the conversation history that explains how a document was produced all sit outside the company. If they leave, it leaves with them, and the company cannot export it, delete it or confirm what client data went into it. Personal plans also cannot create new custom GPTs; OpenAI's GPT creation article limits that to Business, Enterprise and Edu workspaces.
In a Business workspace, a seat is paid capacity that belongs to the company, separate from the member who uses it. Owners buy seats and assign, reassign or swap them. When a member is removed, OpenAI's retention article says their chats, files and canvas documents are retained and restored if the member is re-added, and their projects and custom GPTs are reassigned to a workspace owner. That ownership transfer covers the asset, not the conversations: the owner does not gain the ability to read the removed member's chat history.
How is company data handled on each plan?
On Free, Go, Plus and Pro, conversations are used to improve OpenAI's models unless the user turns off the setting called Improve the model for everyone under Data controls. OpenAI's data controls FAQ also notes that giving a thumbs-up or thumbs-down on a response can send that conversation for training even after opting out. A company relying on personal accounts therefore depends on every employee finding that setting and never touching the feedback buttons, with no way to check.
On Business, OpenAI's enterprise privacy page states that workspace data is not used for training by default and that you own your inputs and outputs. That covers chats, Codex use, memories, data reached through connected apps, GPT conversations and projects. Data is encrypted at rest with AES-256 and in transit with TLS 1.2 or later, the plan has completed a SOC 2 Type 2 audit, and a Data Processing Addendum is available through an online form. Workspace admins can control retention, deleted or unsaved conversations are removed within 30 days, and an owner can turn Memory off for the whole workspace. Neither plan comes with a Business Associate Agreement: OpenAI's BAA article says it does not offer one for ChatGPT Business, so health data needs one of OpenAI's sales-led HIPAA-eligible plans; see which AI tools sign a BAA.
The settings that remain for the company to decide (sign-in, apps, GPT sharing, memory, retention) are in our ChatGPT Business security settings checklist. For general questions about AI tools and company data, our AI data privacy FAQ covers the cross-vendor basics.
What do seats, billing and migration look like?
A Business workspace needs at least two seats (two of either type, or one Standard and one Premium) and, since August 24, 2026, can hold at most 200 paid seats. Premium seats, introduced the same day, carry five times the usage of a Standard seat with no five-hour usage limit and include 50 Pro-model messages a week against 15 a month on Standard. You pay for every seat you have bought whether or not it is assigned; adding seats is charged immediately on a prorated basis, reductions take effect at the next billing cycle, and seats added to an annual plan stay committed through the end of the term, per OpenAI's billing and seats article. Self-serve Business accepts cards only; invoices, purchase orders and net terms are sales-led options, which means a contracted plan such as Enterprise.
Pro and Premium are not the same thing. OpenAI's Business FAQ puts it plainly: Premium is a Business seat type, not a rename of a personal Pro subscription. A heavy user on Pro who needs company controls moves to a Premium seat in the workspace. The API is also separate: a Business subscription does not include API usage, and API credits do not transfer into a workspace.
Staff who already use personal accounts join the workspace with that same email and then choose whether to keep the personal workspace separate or merge it. The merge is permanent and moves the person's own chats, files, GPTs and projects under company control. The details, and the owner-led steps, are in moving personal ChatGPT use into a company workspace.
Which plan should a small company choose?
These situations are illustrative, not client stories:
- A sole proprietor who is the only user. Plus is enough. Turn off Improve the model for everyone, avoid the feedback buttons on anything confidential, and accept that you cannot build custom GPTs.
- A five-person office where three people use ChatGPT for client work. Business, at three to five Standard seats. The reason is the training default and the ability to remove access; the admin console is a bonus.
- A 30-person firm with two analysts who hit limits daily. Business with Premium seats for the two analysts and Standard for everyone else. Pro would give each analyst more usage but no company ownership and no shared GPTs or projects.
- A company that must provision and deprovision users automatically, keep a custom retention period, feed conversation logs to a compliance tool, or pay by invoice. Enterprise. Those are not Business features. The requirements list is in ChatGPT Business vs Enterprise.
- A company over 200 people. Enterprise, because of the Business seat cap.
Frequently asked questions
Can employees keep using personal ChatGPT Plus accounts for work?
They can, but the company then has no control over the data settings, no admin access, no way to remove access when someone leaves and no way to recover the work. OpenAI's own onboarding guidance recommends that staff keep a separate personal account on a personally owned email for personal use and do work in the company workspace.
Is ChatGPT Pro better than ChatGPT Business for a small team?
Pro is a single-user plan with more usage and a larger context window than Plus. It gives one person more; it gives the company nothing: no admin console, no SSO, no shared workspace, and training that must be opted out of rather than off by default. A team is better served by Business with Premium seats for the people who need the extra usage.
Does ChatGPT Business train on our data?
No, by default. OpenAI states that data from ChatGPT Business is not used to train its models unless the workspace explicitly opts in, and that includes memories, data reached through apps, GPT conversations and projects.
What is the difference between a personal and a business ChatGPT account?
Ownership and control. A personal account is tied to one person's email and card, with settings only that person can see. A business account is a seat in a company workspace with owners and admins, domain verification, optional SSO, shared projects and GPTs, and data excluded from training by default.
Can one person have both a personal workspace and a Business seat?
Yes. A person can be a member of a Business workspace and keep a personal workspace, switching between them. In Business, OpenAI says admins cannot require anyone to merge or delete a personal workspace. Inside the Business workspace, Standard and Premium seats can be mixed freely.
When should a company move from Business to Enterprise?
When it needs something Business does not offer: more than 200 paid seats, SCIM provisioning, role-based access controls, the Compliance Platform, custom retention, IP allowlisting, invoice billing or a BAA, or data residency (Enterprise only on OpenAI's pricing comparison; a Business help article says it is rolling out at checkout). Enterprise pricing is quoted by OpenAI's sales team rather than published.
How NetSys sets up a company workspace
NetSys is vendor-neutral across ChatGPT business plans, Microsoft 365 Copilot and Claude, so the first conversation is about which plan fits the company, not which one we prefer. Our ChatGPT Business setup service covers the plan decision, workspace creation, domain and identity setup, data controls, the first shared projects or GPTs and a short rollout to staff. We have run the same kind of rollout for a 25-person company on Copilot and Claude, with usage policies, connector access controls and staff training, and the steps are the same for ChatGPT. The engineer who sets the workspace up documents who owns it and which settings were chosen and why, so the company can hold the configuration without us. Setup is quoted after a scoping call; ongoing administration runs under a flat monthly fee per user.
NetSys engineers settle the plan decision before anything is bought, so request a workspace plan review if you are weighing personal seats against a Business workspace.
