Microsoft Copilot vs Microsoft 365 Copilot: Copilot Chat, Copilot Pro and the Paid Add-On Explained

Microsoft 365 Copilot is the paid add-on, $21.00 per user per month on Microsoft 365 business plans and $30.00 on enterprise plans as of October 2026, that answers from your email, files, meetings and chats. Copilot Chat is the work version included with eligible Microsoft 365 plans: web-grounded and covered by enterprise data protection, but limited to what a person uploads, has open or reaches through Outlook. Microsoft Copilot is also the consumer app people use with personal accounts, and Copilot Pro, its paid upgrade, is no longer sold.

The names overlap because Microsoft keeps renaming the apps. Its documentation now calls the Microsoft 365 Copilot app Microsoft Copilot and the Copilot Chat app Microsoft Copilot Chat, so the icon on a laptop tells you little. What decides what a person gets is the license on the account they sign in with. This guide sorts out who gets what. For the return on paid seats, see our guide to whether Microsoft 365 Copilot is worth it.

Is Microsoft Copilot the same as Microsoft 365 Copilot?

Not quite, and the difference is the account. Microsoft Copilot is the consumer assistant that anyone can use with a personal Microsoft account, and it is also the new name of Microsoft's work app at copilot.cloud.microsoft. Microsoft 365 Copilot is the license that, inside that work app and the Office apps, connects Copilot to your organization's data.

For a business, the line that matters is the sign-in. Microsoft's overview of its Copilot experiences says Copilot Chat and Microsoft 365 Copilot carry enterprise data protection when people sign in with their Microsoft Entra work accounts. A staff member pasting a client contract into Copilot under a personal account is outside those protections. Microsoft's advice to administrators is to control personal-account sign-in with tenant restrictions rather than blocking the Copilot address outright.

What does Copilot Chat include at no extra cost?

Every user on an eligible Microsoft 365 plan can use Copilot Chat for research, drafting, rewriting, image generation and analysis of files they upload. It is primarily web-grounded: it does not search your SharePoint or mailboxes on its own. The exception is Outlook, where Copilot Chat can work across a user's emails, calendar items, meetings and chats with a narrower reach than the paid license.

Agents are where Copilot Chat users meet a meter. Declarative agents grounded in instructions and public websites are included, but agents that read company data are billed pay-as-you-go in Copilot Credits. Microsoft's billing rate table charges 2 credits for a generated answer and 10 for grounding it in your tenant's Microsoft Graph, so one company-data answer for an unlicensed user uses about 12 credits, roughly 12 cents at the pay-as-you-go rate.

What does the paid Microsoft 365 Copilot license add?

  • Work grounding. Copilot reasons across a user's email, meetings, chats, calendar, documents and sites through Microsoft Graph and Work IQ, without anyone uploading files.
  • Copilot inside the apps. The full experience in Word, Excel, PowerPoint and OneNote, plus Copilot in Teams, with priority access when the service is busy.
  • Prebuilt agents. Researcher, Analyst and Facilitator, plus the custom agents your organization builds for employees without per-answer charges, within Microsoft's fair-use limits.
  • Admin tools. Advanced management controls and usage analytics, with access to Copilot Cowork through usage-based billing.

Because Copilot can reach anything a licensed user can open, a folder shared with everyone years ago becomes searchable in seconds. Fix that first; our guide to SharePoint oversharing before Copilot walks through it.

What happened to Copilot Pro?

Copilot Pro was the paid consumer upgrade for personal Microsoft accounts. Microsoft's Copilot Pro support page says it is no longer available for purchase and that support for existing subscribers ended on August 1, 2026. It names Microsoft 365 Premium as one option for individuals; that plan launched in October 2025 at $19.99 a month for up to six people.

That consumer plan matters to a business for one reason. Microsoft lets people use select Copilot features from a personal Microsoft 365 Personal, Family or Premium subscription on files in their organization's OneDrive or SharePoint, and administrators can turn that ability on or off. Decide which way your tenant is set before someone decides for you.

Which fits a small team, Copilot Chat or Microsoft 365 Copilot?

  • Everyone: Copilot Chat, signed in with work accounts, plus a short written rule that client data never goes into personal AI accounts.
  • People whose day is email, meetings and recurring documents: Microsoft 365 Copilot licenses, starting with a pilot group.
  • A firm planning a plan change anyway: compare the bundles, Business Standard with Copilot and Business Premium with Copilot, against buying the add-on separately.
  • A team that mostly needs one answer from one set of documents: a single agent may serve unlicensed staff more cheaply than licensing them all.

Mixing the two is normal. Licenses are per user, so a ten-person office can license three heavy users and leave the rest on Copilot Chat.

What does each Copilot cost?

Microsoft list prices as of October 2026, from its Copilot Business pricing page and enterprise pricing page:

  • Copilot Chat: included with eligible Microsoft 365 plans; agents that use work data are metered at $0.01 per Copilot Credit, or drawn from Copilot Studio packs of 25,000 credits for $200 a month.
  • Copilot Business add-on (up to 300 users): $21.00 per user per month on an annual commitment. Existing Microsoft 365 business customers who commit annually between July 1 and December 31, 2026 pay $18.00 for the first year, then $21.00.
  • Bundles: Business Standard with Copilot at $23.50 and Business Premium with Copilot at $32.00 per user per month, paid yearly, against $14.00 and $22.00 for the plans alone.
  • Microsoft 365 Copilot for enterprise plans: $30.00 per user per month, paid yearly.
  • Copilot Pro: no longer sold; Microsoft 365 Premium launched at $19.99 a month for personal use.

The license is the smaller line. Permission cleanup, training by role and measuring the pilot decide whether the seats earn their price.

How NetSys helps

Our Microsoft Copilot consulting runs in a fixed order: readiness first, with a review of everyone-links, oversharing in SharePoint and OneDrive, dormant accounts, external guests and sensitivity labels; then seat selection by workload and a pilot measured against a baseline; then a usage policy people can follow; then custom agents and Graph connectors where Copilot needs your own data. In our published rollout for an 18-person organization, we reviewed permissions and labels before enabling Copilot, ran hands-on sessions by role and built agents for recurring workflows. Consulting is priced by scope, separately from Microsoft's licenses.

Frequently asked questions

What is the difference between Copilot Chat and Microsoft 365 Copilot?

Copilot Chat comes with eligible Microsoft 365 plans and answers mainly from the web and from content you provide, with some mailbox and calendar reach in Outlook. Microsoft 365 Copilot is a paid per-user license that grounds answers in your organization's data across Microsoft 365 and adds Copilot inside Word, Excel, PowerPoint and Teams.

Can Copilot Chat read my company files?

Only the ones you give it. Copilot Chat users can upload a file, work with content open in supported apps such as Outlook and Teams, or use a pay-as-you-go agent that has access to company content. It does not search SharePoint and OneDrive on its own the way a licensed user's Copilot does.

Can employees use Copilot Pro or Microsoft 365 Premium for work?

Copilot Pro is no longer sold. Microsoft does let people use select Copilot features from a personal Microsoft 365 subscription on files stored in their organization's OneDrive or SharePoint, and administrators can enable or disable that. For client and company data, a work account with Copilot Chat or Microsoft 365 Copilot keeps the work under your tenant's controls.

Do we have to buy Microsoft 365 Copilot for everyone?

No. It is licensed per user, so a small business can license the people who draft, summarize and search all day and leave everyone else on Copilot Chat. On business plans the add-on is available for up to 300 users.

What affects the cost and effort of a Copilot rollout?

The number of licensed seats and which bundle you choose set the Microsoft bill. The effort comes from permission cleanup in SharePoint and OneDrive, training people on their real tasks, agents that use work data, and measuring the pilot so you know whether to expand.
