There is no single SharePoint calendar in modern SharePoint. You have four options: a calendar view on any list with a date column, the Events web part on a page, the Group calendar web part that shows a team site's Outlook group calendar, and a channel calendar in Teams. Choose by who needs the dates and where they work.
The question "how do I add a calendar to SharePoint" usually hides a second one: is this a schedule the team maintains (deadlines, bookings, shifts), or a set of meetings that already live in Outlook? The first belongs in a list; the second should never be retyped. This guide covers each option, the steps, and the limits Microsoft documents. It assumes your sites exist; see how to set up SharePoint for a small business if they do not.
Which SharePoint calendar option should you use?
| Option | What it shows | Where it lives | Use it for |
|---|---|---|---|
| Calendar view on a list | List items plotted by one or two date columns | Any list or library, in SharePoint, the Lists app or a Teams tab | Deadlines, equipment bookings, leave requests, editorial schedules: anything the team maintains as rows |
| Events web part | Upcoming items from a site's Events list, or rolled up from several sites or a hub | A modern page on a team or communication site | Company events on the intranet home page |
| Group calendar web part | Upcoming meetings from the Microsoft 365 group's Outlook calendar | A page on a group-connected team site | Showing the team's real meetings without retyping |
| Channel calendar (Teams) | Meetings scheduled in a Teams channel | A tab in the channel | Teams-first departments |
| Classic calendar app | A classic list with a month grid and overlays | Classic SharePoint pages | Legacy sites; Microsoft's overlay documentation now covers SharePoint Server versions only |
Most small businesses end up with two: a list calendar view for the schedule a team owns, and the Events or Group calendar web part on the intranet so everyone else can see it.
How do you create a calendar view on a SharePoint list?
Any list with a Date and time column can be shown as a calendar. Microsoft's steps (Create a calendar view from a list, Microsoft Support, checked on November 7, 2026):
- Create or open the list. Make sure it has at least one Date and time column; add one with + Add column if needed. For items that span days, add two (for example Start and End).
- On the command bar select + Add view (or View options > Create new view), give the view a name and under Show as select Calendar.
- Choose the columns for Start date on calendar and End date on calendar. You can use the same column for both for single-day items.
- Under More options, choose the column that labels each item on the calendar. Title is the default.
- Select Create. To make it the view everyone sees, open the view menu and choose Set current view as default.
Microsoft's general views article adds that a view's type cannot be changed afterward, so a calendar view and a table view of the same list are two views, not one toggled (Create, change, or delete a view of a list or library, Microsoft Support, checked on November 7, 2026). Add a Choice column for category and use it in filtered views to give each team its own calendar on one list. For column design and the 5,000-item view threshold, see SharePoint lists for small business.
How does the Events web part work?
Every modern site can have an Events list, and the Events web part puts its upcoming entries on a page. In the web part's settings you choose the source: the events list on this site, this site, the whole site collection, selected sites, all sites, or, on a hub-connected site, all sites in the hub or selected hub sites. You can filter to one category and a date range (All upcoming events, This week, Next two weeks, This month or This quarter) and pick a Filmstrip or Compact layout. People add events with Add event on the published page, filling in When, Where, Link, Category and a description; events cannot be added while the page is in edit mode. With audience targeting turned on, an event can be aimed at up to 50 groups (Use the Events web part, Microsoft Support, checked on November 7, 2026).
The hub roll-up is the quiet win: put an Events web part on the intranet home page set to "All sites in the hub," and each department's events appear there without anyone copying them. Pair it with news on the same page and the home page starts earning visits; our knowledge base guide covers the rest of that page.
How do you show the team's Outlook calendar on a SharePoint site?
A group-connected team site already has a calendar: the Microsoft 365 group's calendar in Outlook. The Group calendar web part shows it on a page. Microsoft's notes: the web part "works only on Team sites" because groups exist only there; you pick the group's calendar in the property pane and use a slider to show up to 10 events; events appear as a list, not a month grid; and the web part can only show events scheduled up to 6 months out. If nothing is scheduled, a Create a meeting link opens the group calendar in Outlook on the web (Use the Group calendar web part, Microsoft Support, checked on November 7, 2026).
If the team lives in Teams, add the calendar there instead. A Channel calendar is added from Open apps in the channel: search for Channel calendar, select Add a tab, name it and save; Microsoft notes it is accessible by the entire team (Add a shared channel calendar, Microsoft Support, checked on November 7, 2026). To show the full Outlook group calendar in a channel, copy its URL from Outlook on the web and add it as a Website tab (Add an Outlook group calendar, Microsoft Support, checked on November 7, 2026).
Can you overlay calendars in SharePoint?
Overlays, where several calendars appear on one grid in different colors, are a classic SharePoint feature. Microsoft's article on it lists SharePoint Server 2016, 2013 and 2010 under Applies To, states that "you can add up to four Exchange or SharePoint calendars," requires any overlaid SharePoint calendar to be in the same site collection, and only lets you overlay your own Exchange calendar, using your signed-in credentials. The same page points modern users to Microsoft 365 group calendars and the Group calendar web part (Overlay a SharePoint calendar with a calendar from Exchange or SharePoint, Microsoft Support, checked on November 7, 2026).
In modern SharePoint, get the same outcome differently: one list with a Category column and a calendar view gives you color-free but filterable overlays; the Events web part rolls up several sites' events onto one page; and for true multi-calendar overlays of meetings, Outlook itself is the right place, with the SharePoint page linking to it.
What this does not do, and the limits to plan around
- A list calendar view is not an Outlook calendar. It plots list items; it does not send invitations or appear in anyone's Outlook.
- The Group calendar web part works only on group-connected team sites, shows at most 10 events as a list, and only events within the next 6 months.
- Events web part entries are added one at a time on the published page; it is a publishing tool, not a scheduling tool.
- Classic calendar overlays are documented for SharePoint Server; do not design a new intranet around them.
- Who can see a calendar is decided by the site's permissions, not by the calendar; check the permissions worksheet before publishing dates to the whole company.
Frequently asked questions
Is there a calendar app in SharePoint Online?
Modern SharePoint uses calendar views on lists and the Events and Group calendar web parts rather than a standalone calendar app. The classic calendar list still exists on older sites, but Microsoft's overlay documentation now covers SharePoint Server versions only.
Can a SharePoint calendar sync with Outlook?
The Group calendar web part shows the team's Outlook calendar directly, so there is nothing to sync. A calendar view on a list is a view of list items and does not appear in Outlook.
How do I make a company-wide events calendar?
Put an Events web part on the intranet home page (a communication site that is the hub) and set its source to all sites in the hub, or to the home site's own Events list if one team maintains it. Filter by category and date range as needed.
Can people outside the company see a SharePoint calendar?
Only if they are guests with access to the site, within your tenant's sharing settings. For public dates, publish to your website or send calendar invitations from Outlook.
Can I color-code a SharePoint calendar?
Calendar views support view formatting with JSON, which can style items by a column value; Microsoft documents view formatting separately. For a no-code approach, use a Category column and filtered views instead.
How do I add a calendar to a Teams channel?
Open the channel, select Open apps, search for Channel calendar and add it as a tab. For the full Outlook group calendar, add its web address as a Website tab.
