A SharePoint list is a table of structured data, such as tasks, assets, requests or contacts, stored on a SharePoint site and shared with the people who can access that site. Lists hold items with typed columns; libraries hold files. Create one from scratch, from an Excel table or from a template, then add views and rules.
Lists are the part of SharePoint most small businesses skip, then rebuild badly in a shared spreadsheet. This guide explains what a list is, when to use one instead of a library or Excel, how to create and shape one, and where the Microsoft Lists app fits. It assumes your sites already exist; if not, start with how to set up SharePoint for a small business. Our SharePoint intranet consulting designs the lists behind an intranet, and SharePoint training teaches your team to run them.
What is a SharePoint list?
Microsoft defines a list as "a collection of data that you can share with your team members and people whom you've provided access to" (What is a list in Microsoft 365?, Microsoft Support, checked on November 7, 2026). Each row is an item, each column has a type (text, number, date, choice, person and so on), and every item carries version history, permissions and attachments. The same page notes that, unlike document libraries, lists are not created by default when you create a site; you add them where you need them.
A list can be created in three places, and it is the same list underneath: the Microsoft Lists app in Microsoft 365, a SharePoint site, or a Teams channel. Microsoft's Power Apps documentation adds that when you create or view a list in SharePoint "you're automatically redirected to Microsoft Lists" and that the list is always available in both (Integrate SharePoint Online into Power Apps, Microsoft Learn, checked on November 7, 2026). The scale is generous: a list can hold up to 30 million items, and a file attached to a list item can be up to 250 MB (SharePoint limits, Microsoft Learn, checked on November 7, 2026).
List vs library vs Excel: when do you use each?
The three tools overlap, which is why people pick the wrong one. A short rule: if the thing you are tracking is a file, use a library; if it is a record with fields that several people update, use a list; if one person needs formulas and charts over a snapshot, use Excel.
| SharePoint list | Document library | Excel workbook | |
|---|---|---|---|
| Holds | Items (rows) with typed columns and optional attachments | Files and folders, each with metadata columns | Cells in a single file |
| Who edits at once | Many people, one item at a time, with per-item version history | Many people, one file at a time, with per-file versions | Co-authoring works, but one cell edit can break another person's formula |
| Permissions | Site, list or item level | Site, library, folder or file level | Whoever can open the file sees everything in it |
| Forms and rules | Built-in new and edit forms, rules that email on change, Power Automate triggers | Metadata forms, rules, Power Automate triggers | None without Power Automate or a macro |
| Best for | Requests, trackers, registers, inventories, contacts | Contracts, proposals, policies, drawings | Calculations, modeling, one-off analysis |
| Weak at | Heavy calculation, cross-list reporting | Row-level data | Shared ownership, audit, access control |
A library is technically a special kind of list where every item is a file, which is why libraries also have columns, views and rules. Our guide to SharePoint forms covers how data gets into a list, and the permissions worksheet covers who can see it.
How do you create a SharePoint list from scratch?
Microsoft's steps for the modern experience (Create a list, Microsoft Support, checked on November 7, 2026):
- Open the Lists app and select + New list, or on a SharePoint site select + New > List.
- Choose Blank list. The other options are From existing list (copies the columns, not the data), From Excel, From CSV and the Templates.
- Enter a name and an optional description. In the Lists app, choose whether to save to My lists or to a SharePoint site. On a site, choose whether to show the list in the site navigation.
- Select Create, then add columns with + Add column and items with + Add new item or Edit in grid view.
Two decisions matter more than the clicks. First, save business lists to a site, not to My lists, so the list belongs to the team and survives when its creator leaves. Second, name the list for what one row is ("Vendor contracts", "Equipment", "Client requests"), because that name becomes the URL and the heading of every form. Microsoft also notes a ceiling of 2,000 lists and libraries combined per site collection, which no small business reaches by accident.
How do you create a list from an Excel spreadsheet?
If the data already lives in Excel, import it rather than retyping. Microsoft's steps (Create a list based on a spreadsheet, Microsoft Support, checked on November 7, 2026):
- In Excel, format the data as a table (Home tab, Format as Table). The import works on tables, not loose ranges; Microsoft's page prompts you to create one if the workbook has none.
- Start a new list and choose From Excel, then Upload file or pick a file from OneDrive.
- Select the table, review the column types SharePoint proposes, and adjust any that are wrong (a column of dates should become Date and time, not text).
- Name the list, choose the site, and select Create. The uploaded workbook is saved to the site's Site Assets library.
- Inspect the result. Microsoft's own advice is to check the columns and data to make sure everything imported as expected.
The page states the limit plainly: "You can use tables with up to 5,000 rows to create a list." Larger sheets need to be split, or loaded with Power Automate. Treat the import as a copy, not a link: once the list exists, work in the list and retire the spreadsheet, or you will have two versions of the truth within a week. The feature is not available in GCC High and DoD tenants.
Which columns and templates should a small business start with?
Microsoft's templates are a reasonable first draft. The Create a list from a template page (Microsoft Support, checked on November 7, 2026) has you pick a template, select Use template, then name the list and choose a site; the Issue tracker is its worked example. Templates come with sample columns, views and sometimes rules, and you can delete what you do not need.
When you add your own columns, keep the count small and the types strict. The modern column types Microsoft lists are Single line of text, Multiple lines of text, Location, Number, Yes/No, Person or Group, Date and time, Choice, Hyperlink, Currency, Image and Managed Metadata; Lookup and Calculated columns are reached through the classic settings page (List and library column types and options, Microsoft Support, checked on November 7, 2026). Three habits pay off:
- Use Choice for anything with a fixed set of values (status, department, priority) so filters and rules work. Free text defeats both.
- Use Person or Group for owners and requesters so rules can email the right person.
- Use Date and time for every date, including due dates, so the list can become a calendar; see SharePoint calendar options.
How do views work, and why do they matter past 5,000 items?
A view is a saved way of looking at the list: which columns show, how rows are filtered, sorted and grouped, and whether the layout is a table, calendar or gallery. Microsoft's steps are to open View options, select Create new view, name it and choose a type under Show as; a calendar view asks for start and end date columns. To make a view the default, open Edit current view and check Make this the default view; only a public view can be the default (Create, change, or delete a view of a list or library, Microsoft Support, checked on November 7, 2026).
Views also keep large lists usable. SharePoint's list view threshold is 5,000 items: a view that would return more than that is blocked, and the settings page warns you once a list passes 3,000. Microsoft's answer is indexed columns and filtered views that return fewer rows, rather than one giant "All items" view (Manage large lists and libraries, Microsoft Support, checked on November 7, 2026). Build a "My open items" view filtered on the current user and an "Overdue" view filtered on the due date early, and you will never meet the threshold.
When should you use the Microsoft Lists app instead of SharePoint?
The Lists app is a front door, not a different product. Use it when people want one place to see every list they work with across sites and Teams, and when a list is genuinely personal (saved to My lists). Use the SharePoint site when the list is part of a team's workspace, when you want it in the site navigation next to the documents it relates to, or when it feeds a page on the intranet. In Teams, add the list as a channel tab so the people who update it never leave the conversation. Whichever door you use, the permissions come from the site the list is saved to, so settle those first with the permissions worksheet.
What this does not do, and the limits to plan around
- A list is not a relational database. Lookup columns link lists, but joins and reporting across many lists belong in Power BI or Dataverse.
- Views that would return more than 5,000 items are blocked; design filtered, indexed views from the start.
- Attachments are capped at 250 MB each; files that need versioning and co-authoring belong in a library, not as attachments.
- Importing from Excel handles tables of up to 5,000 rows and copies the data once.
- The built-in forms are good but bounded; see SharePoint forms for when you need Power Apps.
- Email notifications come from rules and Power Automate, not from the retired alerts feature; see SharePoint alerts.
Frequently asked questions
Is Microsoft Lists the same as a SharePoint list?
Yes. Microsoft Lists is the app and the brand; the list itself is stored on a SharePoint site (or in your own storage for My lists). Opening a list in SharePoint redirects you to the Lists experience, and the same list appears in both places.
Can a SharePoint list replace Excel?
For shared trackers, registers and request logs, yes, and it does the job better because each row has its own history, permissions and form. For calculations, modeling and charts, keep Excel and feed it from the list with Export to Excel or Power BI.
How many items can a SharePoint list hold?
Up to 30 million items, according to Microsoft's SharePoint limits page. The practical constraint is the 5,000-item list view threshold, which you manage with indexed columns and filtered views.
Can people outside the company use a SharePoint list?
Guests who have been given access to the site can, within the sharing settings your tenant allows. For collecting information from the public, use a Microsoft Form and write the responses into the list with Power Automate.
Can I get an email when an item changes?
Yes, through a rule on the list (for example, notify the owner when Status changes) or a Power Automate flow for anything with conditions. The older Alert Me feature was retired in 2026.
Can I show a list as a calendar?
Yes. Any list with a Date and time column can have a calendar view; you pick the start and end date columns and the label column when you create the view.
