Microsoft 365 Copilot Pricing and Licensing: Business FAQ

Microsoft Copilot pricing for a small business, as of October 2026: the Copilot Business license lists at $21.00 per user per month on an annual commitment, $18.00 for the first year on annual purchases made by December 31, 2026, or $25.20 on a monthly subscription, for organizations of up to 300 users. Microsoft also sells the plan and the license together, at $23.50 for Business Standard with Copilot and $32.00 for Business Premium with Copilot, and Copilot Chat stays free with eligible plans. Larger organizations pay $30.00 per user per month for Microsoft 365 Copilot.

Microsoft rebuilt its small-business plans around Copilot in 2026, and the naming alone has owners confused about what they're paying for. Here are the questions we get most, answered plainly, with prices checked on Microsoft's pricing pages on October 10, 2026, so you can tell what changed and whether it's worth switching.

These are Microsoft's US list prices before tax. A partner or a different term can change what you pay, and Microsoft has cut and repackaged these prices more than once since 2023, so check the date on any figure you read. Microsoft 365 with Copilot: common plan and licensing questions

What is Microsoft 365 Business with Copilot?

It's Microsoft's productivity suite with the Copilot AI assistant built into Word, Excel, PowerPoint, and Outlook instead of sold as a separate add-on. Microsoft launched two versions, Business Standard with Copilot and Business Premium with Copilot, on July 1, 2026, and lists them at $23.50 and $32.00 per user per month on annual terms. Same apps you already use, with the AI baked in rather than bolted on.

How is this different from regular Business Standard or Premium?

The core apps are identical. The difference is Copilot. The "with Copilot" plans include the full assistant that works inside your documents and reads your own files, while the standard plans give you the free Copilot Chat instead. On price, Business Premium with Copilot costs $10.00 a month more than Business Premium alone at $22.00, which is less than the $21.00 add-on bought separately. Is Copilot Chat really free now?

Yes, at no additional cost with eligible Microsoft 365 business plans. Copilot Chat reasons over web data and files you upload, includes Copilot in Outlook, and gives limited access to agents, with custom agents billed on a metered basis. What it does not do is reason over your mailbox, meetings, chats and stored files. That work-data grounding, the Researcher and Analyst agents and Copilot across the Microsoft 365 apps come with the paid license, according to Microsoft's comparison.

How much does the paid Copilot cost now?

For organizations with up to 300 users, the license is Microsoft 365 Copilot Business: $21.00 per user per month on an annual commitment, $18.00 for the first year of annual commitments bought between July 1 and December 31, 2026, and $25.20 on Microsoft's monthly subscription, according to Microsoft's Copilot Business pricing page on October 10, 2026. Microsoft cut the small-business price to $21 per user per month effective December 1, 2025, down from the $30 it launched at in 2023. Organizations on enterprise plans still pay $30.00 per user per month, paid yearly, for Microsoft 365 Copilot. That's a real drop for a small team, though it still adds up fast across a full staff, so match seats to who'll actually use it.

Do I have to switch to the new plan to get Copilot?

No. You can add the Copilot Business license to an eligible Microsoft 365 Business plan, or move to a "with Copilot" bundle. The bundles cost less than buying the two separately: Business Premium and the add-on come to $43.00 at annual list prices, against $32.00 for Business Premium with Copilot. When the price dropped in December 2025, Computerworld reported that existing customers paying $30 would not be moved to the lower price automatically and should contact Microsoft. What is the Microsoft 365 Copilot add-on license?

It's the per-user license that turns free Copilot Chat into Microsoft 365 Copilot for the person it is assigned to. It requires a qualifying Microsoft 365 plan: Copilot Business on Business plans for up to 300 users, or Microsoft 365 Copilot on enterprise plans. A licensed user gets answers grounded in their own email, meetings, chats and files, Copilot in Word, Excel, PowerPoint, Outlook, OneNote and Teams, and the Researcher and Analyst agents. License people, not the company: an unlicensed colleague keeps Copilot Chat.

What can paid Copilot actually do for a small business?

It works inside your own content. Draft an email in Outlook from a meeting thread, build a first-pass slide deck from a Word doc, or pull a summary out of a long spreadsheet. Microsoft says it also reaches outside tools through more than 1,000 connectors, across apps such as Shopify, PayPal, Xero and Docusign, so it can pull context from systems beyond Office. The value is real when the work is document-heavy and repetitive.

How much does Microsoft Security Copilot cost?

Security Copilot is a separate product for security operations, priced by capacity rather than per user. Microsoft's pricing page bills provisioned Security Compute Units by the hour, with a minimum of one, plus optional overage, and its billing example uses $4 per provisioned SCU per hour and $6 per overage SCU. At that rate one SCU provisioned for a 30-day month comes to $2,880. Microsoft 365 E5 customers get an allowance of 400 SCUs a month for every 1,000 user licenses, up to 10,000, activated in phases. For a small business on Business Premium we usually put the Defender tools already in the plan and a managed detection and response service ahead of Security Copilot.

Is my company data safe if we turn on Copilot?

Paid Copilot runs inside your Microsoft 365 tenant and respects the permissions you already set, so it only sees what a given user can already see. Should we turn it on, or wait?

Turn it on for the people who live in documents and email, and hold off for everyone else until you see the value. Copilot pays back fastest where someone writes, summarizes, or reformats the same kind of content all day. Before rolling it out, clean up your file permissions so the AI doesn't surface something it shouldn't. The license line depends on how many seats you license, whether you buy the add-on or a bundle, annual or monthly terms, and whether an annual purchase lands inside the promotion window. Agents add usage costs: Microsoft meters agents for people without a license, and enterprise agent use needs an Azure subscription. The rest is readiness work, meaning permission cleanup, labels, policy and training, which NetSys scopes and prices separately from Microsoft's licensing.
