SharePoint sync brings library files into File Explorer or Finder through the OneDrive app. You have two choices: Sync, which ties a library to one computer, and Add shortcut to OneDrive, which follows you to every device. Files On-Demand keeps disk use small. Stay inside Microsoft's 400-character path and 300,000-item limits and most problems never appear.
Sync is where SharePoint meets the habits of a file server, and where most support tickets come from. This guide explains what sync does, how it differs from shortcuts, how Files On-Demand works, the limits Microsoft documents, and the fixes in order. It assumes libraries exist and are permissioned; if not, start with how to set up SharePoint for a small business and the permissions worksheet.
What does SharePoint sync actually do?
The OneDrive app on Windows and Mac can keep a SharePoint or Teams library in step with a folder on the computer. Microsoft describes two ways to get there: "add shortcuts to libraries and folders to OneDrive" or "use the Sync button in the document library," and draws the distinction in one sentence: "adding OneDrive shortcuts allows content to be accessed on all devices, whereas sync is related to a specific device." Synced libraries land in a folder named for your organization in File Explorer, and you cannot choose another location (Sync SharePoint and Teams files with your computer, Microsoft Support, checked on November 7, 2026). Edits made in the folder upload to SharePoint; changes in SharePoint download. Sync is a mirror, not a backup.
Sync vs Add shortcut to OneDrive: which should you use?
| Sync (library's Sync button) | Add shortcut to OneDrive | |
|---|---|---|
| Where it appears | A separate organization folder on that one computer | Inside your OneDrive on the web, File Explorer, Finder, Teams and the mobile apps |
| Follows you to other devices | No, set up per computer | Yes |
| Limits Microsoft documents | Recommended total of 300,000 items across everything you sync | Up to 100 folder shortcuts from one person's OneDrive or Teams site; up to 1,000 shortcuts in total; the 300,000 item recommendation also applies to shortcut folders |
| Uses your OneDrive storage | No | No; shared folder shortcuts count against the owner's storage |
| Removing it | Stop sync in OneDrive settings; copies stay on the computer | Remove shortcut; only your link is removed, the content stays for everyone |
| Best for | Desktop users who work in one or two libraries all day | Everyone else, and anyone who uses more than one device |
Microsoft's shortcut page supplies the limits: "You can add up to 100 folder shortcuts from a single person's OneDrive or Teams site" and "up to 1,000 shortcuts across files and folders"; shortcuts appear in OneDrive on the web, File Explorer, Finder, Teams and the mobile apps; and removing one "only removes the folder from your OneDrive" (Add shortcuts to shared folders in OneDrive, Microsoft Support, checked on November 7, 2026). Our default for a small business is shortcuts for everyone and Sync only for the few people who need a specific library pinned on a desktop. Do not do both for the same folder; the shortcut option is unavailable when the folder has already been added to your OneDrive.
How do you sync a SharePoint library?
- Sign in to the OneDrive app on the computer with your work account. On a managed PC this is usually already done.
- In the browser, open the SharePoint site or the Teams channel's Files tab, then the library (for example Documents) or the one subfolder you need.
- Select Sync on the command bar (or Add shortcut to OneDrive if you want it everywhere). Confirm the browser prompt to open OneDrive.
- Wait for the first pass. The library appears under your organization's name in File Explorer or Finder. This is a one-time step per computer; after that it syncs on its own.
- To stop: open OneDrive settings, go to the Account tab and select Stop sync next to the site. Microsoft notes that "copies of the files remain on your computer," so delete the local folder afterward if the person is leaving.
Sync a subfolder, not the whole library, when a library is large; the item count is what breaks sync, not the size in gigabytes.
What is Files On-Demand?
Files On-Demand lets a synced folder show every file without downloading every file. Microsoft describes three states: a blue cloud icon means online-only, taking no local space and needing a connection to open; a green check means the file has been opened and is locally available; a green circle with a white check means you chose Always keep on this device. In OneDrive settings under Sync and backup > Advanced settings, the options are Free up disk space, which is the default on current builds, and Download all files. Windows Storage Sense can turn files you have not used back into online-only after a period you choose. Microsoft notes the feature requires Windows 10 version 1709 or later or Windows Server 2019, is on by default in OneDrive builds from 23.066, is not supported with Windows Information Protection, and may not work with some third-party antivirus software (Save disk space with OneDrive Files On-Demand for Windows, Microsoft Support, checked on November 7, 2026).
For laptops that travel, mark the client folder someone is working on this week as Always keep on this device and leave the rest online-only. For a shared desktop, leave the default.
What are the SharePoint sync limits?
These are the numbers from Microsoft's own pages. Design around them and the tickets stop.
| Limit | Microsoft's figure | What to do |
|---|---|---|
| File size | 250 GB per file for upload, download and sync | Rarely hit; keep video archives in a separate library |
| Path length | The entire decoded path including the file name cannot exceed 400 characters | Shorten deep folder trees before migrating from a file server |
| Items synced | Recommended no more than 300,000 items across your cloud storage; the same soft limit applies to shortcut folders; a public preview supports up to 1,000,000 per device on specific hardware | Sync subfolders; use shortcuts; keep archives out of synced libraries |
| Items per library | Recommended no more than 300,000 files synced in a single library | Split by year or client |
| Characters in names | Not allowed: " * : < > ? / \ | and leading or trailing spaces | Clean names before migration; the sync client flags offenders |
| Reserved names | Names such as .lock, CON, PRN, AUX and NUL, and anything starting with ~$ | Rename |
| Library settings | Libraries that require checkout or have required columns sync as read-only; IRM libraries need a minimum sync client build to sync read-write | Remove required columns from libraries people sync, or stop syncing them |
| Shared OneDrive folders | Up to 50,000 sub-items in a shared folder and its subfolders | Move business content to a SharePoint library |
Sources: Restrictions and limitations in OneDrive and SharePoint, Microsoft Support, and SharePoint limits, Microsoft Learn, both checked on November 7, 2026. The path limit and the 300,000-item recommendation are the two that matter on a file server migration; the hub guide covers the cleanup pass that handles them.
How do you fix SharePoint sync problems?
Work through these in order; most tickets end at step 3.
- Check the cloud first. Microsoft's first step is to confirm you can open the library in the browser; if you cannot, it is a permission or network issue, not sync (Fix OneDrive sync problems, Microsoft Support, checked on November 7, 2026).
- Read the icon and the error list. A lock icon means read-only: Microsoft lists missing edit permission, required checkout, or required columns and metadata as the causes. A red X with a list of files usually means a bad name, a path over 400 characters, or a file over the size limit.
- Update and move a file out. Keep Windows and OneDrive current, then pause syncing, move a stuck file out of the folder, resume, and move it back; Microsoft lists this as a way to clear sync issues.
- Run the Support and Recovery Assistant. Microsoft's tool "can help you identify and fix several issues with OneDrive for work or school sync."
- Reset OneDrive. Press Windows + R and run
%localappdata%\Microsoft\OneDrive\onedrive.exe /reset. Microsoft states "You won't lose files or data by resetting OneDrive," that the reset "only disconnects all your sync connections," and that OneDrive performs a full sync afterward (Reset OneDrive, Microsoft Support, checked on November 7, 2026). Expect the re-download to take a while on a large sync set. - Unlink and re-link. Microsoft notes no data is lost by unlinking and re-linking the account. Re-add the libraries, this time as shortcuts or subfolders.
- Reduce the item count. If the same machine keeps failing, it is almost always over 300,000 items. Stop syncing archive libraries and use shortcuts.
One cause is easy to miss: Microsoft's throttling guidance gives the example that "one user syncing a large amount of data across 10 machines at the same time could trigger throttling" (Avoid getting throttled or blocked in SharePoint Online, Microsoft Learn, checked on November 7, 2026). Shared accounts synced on every PC in the office do exactly that. When sync is being used to get notified about new files, a rule or flow does it better; see SharePoint alerts and their replacements. And if the real complaint is "we just want a shared drive," read SharePoint alternatives before adding more sync.
What this does not do, and the limits to plan around
- Sync is not a backup. Deleting a file in a synced folder deletes it in SharePoint; recovery is through the recycle bin and version history.
- Sync is per computer; shortcuts are per person. Neither grants permissions; the library's permissions still decide who can edit.
- Libraries with required checkout or required columns sync read-only.
- The 300,000-item figure is Microsoft's performance recommendation, not a hard cap, but exceeding it is the most common cause of a sync client that never finishes.
- Resetting OneDrive triggers a full re-sync of everything on that computer.
Frequently asked questions
Should I use Sync or Add shortcut to OneDrive?
Shortcuts for most people, because Microsoft notes they are available on all devices while Sync applies to one computer. Use Sync for a desktop user who works in one library all day and wants it in a fixed place.
Why are my synced SharePoint files read-only?
Microsoft lists three causes for the lock icon: you lack edit permission, the library requires checkout, or it has required columns or metadata. Fix the library settings or your permissions; the sync client cannot override them.
How many files can I sync from SharePoint?
Microsoft recommends no more than 300,000 items in total across everything you sync, including shortcut folders, and no more than 300,000 files in a single library. A public preview raises the per-device figure to 1,000,000 on specific hardware.
Does syncing a SharePoint library use my OneDrive storage?
No. Synced libraries and shortcuts to shared folders do not count against your OneDrive quota; shared folder shortcuts count against the owner's storage.
Can I choose where synced files are stored on my computer?
Not for SharePoint libraries. Microsoft states they sync to a folder named after your organization and that you cannot choose a different location.
Is SharePoint sync a backup?
No. It mirrors changes in both directions, including deletions. Use the SharePoint recycle bin and versioning for recovery, and a separate Microsoft 365 backup for retention beyond that.
