IT Support for Financial Services in Boca Raton, FL
Boca Raton's financial sector is broader than wealth management: broker-dealers near FINRA's district office at Boca Center, insurers and insurance data firms, mortgage and business lenders, and private equity and family office deal teams along Yamato Road and in the Park at Broken Sound. NetSys runs their IT and security remotely from Brooklyn, built around records, continuity and confidentiality.

What shapes IT for financial firms in Boca Raton
FINRA keeps one of its district offices at Boca Center, 5200 Town Center Circle, and the city's own economic development report lists private equity, lending and fintech companies among its financial and professional services employers. NCCI, the National Council on Compensation Insurance, has its headquarters here, with about 800 employees on the county Business Development Board's list of top employers. Firms are still arriving. The board's chief executive says more than 250 financial firms have moved into Palm Beach County, and in March 2026 an independent broker-dealer and RIA announced it was moving its headquarters from Michigan to 301 Yamato Road. That history shapes the IT. Many firms keep a New York office or New York licenses, so they operate across two states with one Microsoft 365 tenant and, sometimes, NYDFS obligations alongside Florida law. Their people split time between Boca Raton and the Northeast. Their regulators expect written records, supervision and a business continuity plan that works in hurricane season, and FEMA has listed Palm Beach County in more than a dozen major disaster declarations for tropical storms and hurricanes since 2004.
How remote IT support works for a Boca Raton financial office
Everything is run from Brooklyn through consoles and agents: NinjaOne on every workstation, delegated administration of Microsoft 365, the firewall dashboard and the ThreatDown console. We do not send engineers to Boca Raton offices, so hardware is ordered to arrive enrolled through Windows Autopilot and network equipment ships configured, ready for your office manager or the building's contractor to connect. Change windows are set around the trading and closing calendar, typically after the market closes or on weekends, and the change log records who approved each one, which your compliance officer can hand to an examiner. Traders and operations staff who start early reach an engineer from 4 a.m. Eastern. Severe problems, such as ransomware, a lost circuit or email that stops working, go straight to your dedicated engineer at any hour.
Books and records, archiving and the systems between them
A financial firm's IT is largely about proving what happened. Broker-dealers keep electronic records under SEC Rule 17a-4, which since the 2022 amendments allows either write-once storage or a system with a complete audit trail that can recreate any modified or deleted record. Advisers keep written communications under Rule 204-2. In practice that means email, Teams chats and any approved messaging channel captured by an archiving service, retention policies set in Microsoft 365 before anyone can delete anything, and a written rule on text messages. Around that sit the systems the firm runs on, described here generically: a CRM, an order management or portfolio platform, custodian and clearing-firm portals, an accounting system and, for deal teams, virtual data rooms. We manage the identity, devices, network and backups under each and coordinate with the vendors who own the applications.
Deal confidentiality, wire fraud and hurricane continuity
Private equity and family office teams handle information that moves prices: target financials, letters of intent and data room access. We protect it with Conditional Access that requires managed devices, sensitivity labels that keep documents encrypted outside the firm, Keeper vaults for shared credentials, and same-day removal of advisors and contractors when a deal closes. Payments carry their own risk, so every change to wire instructions requires a call back to a number already on file, and DMARC enforcement makes the firm's own domain harder to spoof. Continuity is the third concern. FINRA Rule 4370 expects a written plan covering data backup and recovery, mission-critical systems and alternate communications, reviewed every year. Ours puts mail and files in Microsoft 365, replicates other data outside Florida, adds cellular failover, and tests the plan each spring before hurricane season opens on June 1.

Rules that shape IT for Boca Raton financial firms
SEC Regulation S-P, as amended in 2024
The amendments the SEC adopted in May 2024 cover broker-dealers, investment companies, registered investment advisers and transfer agents. Each must keep a written incident response program to detect, respond to and recover from unauthorized access to customer information, tell affected individuals within 30 days of becoming aware that their sensitive information was or is reasonably likely to have been misused, oversee its service providers and keep written records of compliance. Larger entities had to comply by December 3, 2025 and smaller ones by June 3, 2026, so every covered firm is now in scope.
FINRA Rule 4370
Member broker-dealers must create and maintain a written business continuity plan for emergencies and significant business disruptions, review it at least once a year and update it after material changes. A member of senior management who is also a registered principal approves it. The plan must address, among other areas, data backup and recovery, mission-critical systems, alternate communications with customers and employees, and how customers get prompt access to their funds and securities. Firms must also give FINRA two emergency contact persons and keep that information current.
FTC Safeguards Rule for non-bank lenders
Mortgage brokers and lenders and other financial institutions under FTC jurisdiction must run a written information security program supervised by a designated qualified individual, require multifactor authentication for anyone accessing customer information, encrypt that information at rest and in transit, and report in writing to the board or a senior officer at least once a year. Since May 2024 they must also notify the FTC no later than 30 days after discovering an unauthorized acquisition of unencrypted information about 500 or more consumers.
Florida Information Protection Act
Section 501.171 of the Florida Statutes requires reasonable measures to protect personal information. A firm that notifies customers under its primary federal regulator's rules is deemed to meet Florida's individual-notice requirement, but a breach affecting 500 or more Floridians must still be reported to the Department of Legal Affairs within 30 days. Civil penalties for notice failures can reach $500,000 per breach. This is general information, not legal advice.

Financial Services Firms in Boca Raton: FAQs
Who provides IT support for financial services firms in Boca Raton?
NetSys provides managed IT, cybersecurity and help desk support to Boca Raton broker-dealers, insurance firms, lenders, private equity managers and family offices from its only office, in Brooklyn, NY. It works either as the firm's entire IT department or alongside a CTO or an operations lead who owns technology. Founded in 1998, NetSys employs engineers certified in Cisco and Microsoft, keeps 98% of its clients and assigns a dedicated account manager with a real cell number. Service is remote: no engineers come to Boca Raton offices, and equipment ships preconfigured.
How does IT support work for Boca Raton financial firms?
Your people reach engineers by phone, email or Teams, and most fixes happen in a remote session while they watch. Patching, monitoring, backups and security alerts run in the background, and changes go in during windows your compliance officer approves, with a log to show for it. Physical work is handled by shipping: a laptop that arrives enrolled and ready for first sign-in, or a firewall configured before it leaves our bench. Overnight and on weekends, monitoring and emergency response continue, and severe incidents reach your dedicated engineer without waiting for the desk to open.
What does IT support cost for a financial services firm in Boca Raton?
Managed IT for a financial firm is priced per user per month after an assessment, and NetSys does not publish a rate card. The figure moves with the number of offices and states you operate in, whether servers remain on premises, archiving and retention requirements, the depth of security monitoring and testing, the evidence examiners and investors ask for, and any coverage needed outside staffed hours. Third-party archiving and market data subscriptions are billed by their vendors. Projects such as a New York to Florida office move are quoted after scoping, and the agreement runs month to month.
Does NYDFS Part 500 apply to a financial firm based in Boca Raton?
It can. Part 500 applies to entities licensed, registered or chartered by the New York Department of Financial Services, such as many insurers, insurance producers, lenders and money transmitters, wherever their office sits. A Boca Raton firm that keeps such a license keeps the obligations unless it qualifies for an exemption. The amended regulation's final requirements took effect on November 1, 2025, expanding multifactor authentication and requiring written procedures for an asset inventory. We map which systems fall in scope, produce the evidence behind the annual filing and align it with Florida and SEC requirements.
Do you support market data, trading and portfolio systems?
We support the environment those systems depend on rather than the applications themselves. That means the workstations and multi-monitor setups, the network and internet circuits, identity and sign-in, Conditional Access policies, backups of any local databases, and monitoring for failures. Configuration inside a trading, portfolio or market data platform stays with the vendor or your operations team, and we join their support calls when a problem crosses between the application and the network. Upgrades and vendor maintenance are scheduled outside market hours, with a rollback plan written down first.
How do you secure a private equity or family office deal team?
We start with who can see what. Data rooms, deal folders and shared mailboxes get named owners and access lists that expire, and outside advisors receive guest access that ends when the deal does. Sign-in requires multifactor authentication and a managed device. Sensitivity labels mark confidential documents so they stay encrypted when forwarded, and data loss prevention rules flag messages carrying account numbers or tax IDs. For acquisitions, our IT due diligence review documents the target's security and the cost of fixing what we find before the purchase price is final.
