Wealth Management IT Support in Boca Raton, FL
Boca Raton advisors serve clients who have done well, many of them retired, seasonal or recently arrived from New York and New Jersey, and those accounts are a favorite target for impersonation and wire fraud. NetSys gives registered investment advisers, independent advisors and multi-family offices the IT and security to protect those relationships, delivered remotely from Brooklyn.
The short answer

What changes for a wealth manager in Boca Raton
The city's 2023 economic development report puts Boca Raton's average age at 48 and its median household income at about $101,000, and retirement communities such as Kings Point, a 55-and-older development just north of the city, sit close by. Seasonal residents are part of the picture too, along with families who moved their accounts, and sometimes their advisors, south from New York and New Jersey. For an advisory firm that means clients who sign documents from two states, email from personal accounts and phone the office expecting to be recognized, which is exactly the opening an impersonator looks for. It also means advisors who divide the year between offices and need the same secure access in both. Registration decides the regulator. Under the SEC's own summary, advisers with more than $110 million in regulatory assets under management generally register with the SEC, while those under $100 million generally register with their state, which in Florida means the Office of Financial Regulation. Both expect written policies that cover cybersecurity, and hurricane season adds a continuity test a New York practice never had to plan for.
How remote IT support works for a Boca Raton advisory firm
Advisors and staff call, email or message the help desk and get an engineer, who fixes most problems in a remote session through NinjaOne. The desk is staffed from 4 a.m. to 11 p.m. Eastern seven days a week, which covers the hours before the market opens and the evening client calls. NetSys sends no engineers to Boca Raton offices, so equipment arrives ready: laptops enrolled through Windows Autopilot, so an advisor signs in and finds their applications, and firewalls and access points configured before shipping for your office manager to plug in. Systems engineer Joe Laboy heads NetSys's Florida operations as part of that remote team. Advisors who work part of the year from another state keep the same laptop, the same security policies and the same help desk number.
Custodian portals, CRM and reporting, secured at the access layer
An advisory firm runs on a handful of platforms, described here generically: one or more custodians' advisor portals, a CRM, portfolio management and performance reporting, financial planning software, e-signature and a client document vault. Each holds client data, and each is reached through a browser and a password, so the risk sits in sign-in. We put single sign-on in front of every platform that supports it, require multifactor authentication on the rest, allow access only from managed devices through Conditional Access, and keep any remaining credentials in Keeper with shared vaults by role. Offboarding removes a departing advisor's access to every platform the same day, which matters when someone leaves for a competitor. SEC Rule 204-2 requires advisers to keep written communications about advice, money movements and orders, so email and Teams retention are set in Microsoft 365 and the firm's policy on text messages is written down and enforced.
Impersonation, money movement and the hurricane plan
The typical loss at an advisory firm is a fraudulent distribution request. A client's personal email is hijacked, or a lookalike of the firm's domain is registered, and a convincing message asks for a wire to a new account. The controls are procedural first: a call back to the number on file for any new or changed instructions, a second approver for distributions above a set amount, and a note in the CRM of who verified what. Technical controls support them: DMARC at enforcement on the firm's domain, monitoring for lookalike domains, Barracuda filtering, and KnowBe4 training built around these exact scenarios. Continuity is the other local test. When a storm threatens Palm Beach County, staff take managed laptops home, office lines forward to mobiles, and client records stay reachable because they live in cloud platforms and in backups held outside Florida.

Compliance rules for Boca Raton wealth managers
Amended SEC Regulation S-P
SEC-registered advisers with less than $1.5 billion under management had to comply with the 2024 amendments by June 3, 2026, and larger advisers by December 3, 2025. The rule calls for a written incident response program, notice to affected clients as soon as practicable and no later than 30 days after the adviser learns that sensitive customer information was, or is reasonably likely to have been, accessed or used without authorization, policies requiring service providers to report a breach within 72 hours, and records showing compliance.
Florida Office of Financial Regulation
Advisers registered with Florida rather than the SEC are examined by the Office of Financial Regulation. Its compliance alert on cybersecurity notes that Florida has no statute or rule written specifically about adviser cybersecurity, but that advisers are fiduciaries who must minimize risks to client assets. It points to Rule 69W-600.0131, which requires written policies and procedures, and Rule 69W-600.014 on supervision, and expects cybersecurity measures to appear in the written compliance manual available to examiners, with NASAA's checklist as a guide.
SEC Rule 204-2 books and records
SEC-registered advisers must keep originals of written communications received, and copies of those sent, that relate to recommendations or advice, the receipt or disbursement of funds or securities, and the placing or execution of orders. Records are kept for at least five years from the end of the fiscal year of the last entry, the first two in an appropriate office of the adviser. Email, chat and any approved text channel therefore need capture and retention set up before messages can be deleted.
Florida Information Protection Act
Section 501.171 applies to any adviser holding Floridians' personal information, alongside the federal rules. It requires reasonable measures to protect that information and reasonable disposal of customer records the firm no longer keeps. Individual notice is due within 30 days of determining a breach, a vendor holding data for the firm must report a breach within 10 days, and data that is encrypted or otherwise rendered unusable falls outside the statute's definition of personal information. Wealth Management Firms in Boca Raton: FAQs
Who provides IT support for wealth management firms in Boca Raton?
NetSys provides managed IT, cybersecurity and help desk support to Boca Raton RIAs, independent advisors and multi-family offices from its only office, in Park Slope, Brooklyn. It can serve as the whole IT department for a firm of five to 50 people or work beside an operations or compliance lead who handles technology part time. NetSys has operated since 1998 and works on month-to-month agreements. Support is remote and cloud-based: NetSys does not send engineers to Boca Raton offices, so new laptops and network equipment ship configured and ready to use.
How does IT support work for Boca Raton wealth managers?
It starts with a short assessment of every device, user, platform and vendor, then a staged cutover over three to four weeks. After that, staff contact the help desk by phone, email or Teams, and our written commitments apply: critical issues get a phone response in ten minutes and a remote session in thirty, standard issues thirty minutes and an hour. Ransomware, a dead circuit or failed email reaches your dedicated engineer at any hour. Monitoring, patching and backups run continuously from Brooklyn, and anything physical is shipped configured for your staff to connect.
What does IT support cost for a wealth management firm in Boca Raton?
IT support for an advisory firm is priced per user per month after an assessment, and NetSys does not publish prices. The fee moves with the number of offices and advisors working remotely, whether any servers remain, the archiving and retention setup, the depth of security monitoring and testing, and the documentation you need for SEC or Florida examinations and for due diligence questionnaires from clients or acquirers. Platform subscriptions, such as your CRM or archive, are billed by their vendors. Projects like an office move or a Microsoft 365 consolidation are quoted after scoping.
How do you help Boca Raton advisers meet the amended Regulation S-P?
We build the technical half of the program and keep the evidence. That includes an inventory of where customer information lives, logging that lets you tell whether sensitive data was accessed, a written incident response plan with roles and a 30-day notice timeline, and a list of service providers with their security commitments and breach-notice terms. We then test it: a tabletop exercise with your chief compliance officer, a restore from backup and a phishing simulation. Your compliance consultant or counsel owns the policies and the notice decisions; we make sure the systems behave the way the policies say.
Do you support our custodian, CRM and portfolio reporting platforms?
Yes, from the access and infrastructure side. We manage how advisors sign in to each platform, the devices they use, the browser settings the platforms need, network and internet performance, and the integrations that move data between your CRM, reporting tool and custodian feeds when they fail at the network or identity level. Configuration inside each platform stays with the vendor or your operations staff, and we join their support calls when a problem crosses that boundary. We do not hold credentials that can move client money, and we recommend that no IT provider does.
What should we do if a client's email account is compromised?
Treat every request from that address as unverified until you have spoken to the client at the number on file. Freeze pending distributions or changes to standing instructions, note the incident in the CRM and alert your custodian's service team. Then check your own side: ask us to review your mailboxes for forwarding rules and unusual sign-ins, since attackers often compromise both ends of a conversation. Agree a new verification method with the client, such as a code word. If client data held by your firm was exposed, your incident response plan and counsel decide whether notice is required.
