Wealth Management IT Support in Sarasota, FL
Sarasota advisers serve one of the oldest client bases in the country, and criminals know it. NetSys builds IT for wealth management firms and RIAs from Main Street to Lakewood Ranch around that fact: verified money movement, protected client portals, documented exploitation holds and Regulation S-P incident response, all managed remotely from Brooklyn.
The short answer
NetSys provides IT support and cybersecurity for Sarasota wealth management firms, RIAs and independent financial advisors: an engineer-staffed help desk, managed laptops, Microsoft 365 with email archiving, multifactor authentication on custodian and planning platforms, ThreatDown MDR, tested backups and the written incident response program amended Regulation S-P requires. We also set up the verification steps that protect older clients from impersonation and wire fraud. Support is remote; NetSys does not send technicians to Sarasota offices. The help desk is staffed 4 a.m. to 11 p.m. Eastern daily, and pricing is per user per month after an assessment.

Advising Sarasota's retirees: where the risk sits
Residents 65 and older made up 38.8 percent of Sarasota County's population in 2025, according to Census Bureau estimates reported by Sarasota Magazine, and the share keeps rising. For advisers on Main Street, St. Armands, Longboat Key, Venice and Lakewood Ranch, that means a book of clients who are drawing down assets rather than building them, often with adult children in other states holding powers of attorney. It also means a target. Floridians over 60 reported nearly $710 million in cybercrime losses to the FBI in 2025, second only to California. The common attacks reach the adviser through the client: a hijacked email account requesting a wire, a caller posing as a grandchild or a bank, a fake custodian login page sent by text. IT cannot stop a client from being deceived, but it can make sure a request that arrives by email is never enough on its own, that client portal accounts use strong authentication, and that staff have a fast, recorded way to flag a concern and pause the request.
Remote support for a Sarasota advisory office
Our support for Sarasota advisers is remote from start to finish; NetSys has no Florida office and does not send technicians on site. The tools make that practical. NinjaOne and Intune manage each laptop and desktop, ThreatDown watches for malicious activity around the clock, and Microsoft Entra ID decides who can open client files from where. When a new paraplanner starts, a laptop ships from the distributor already enrolled, with the CRM, planning software and printers in place. When an adviser heads north for the summer, Conditional Access recognizes the managed laptop and blocks a stranger's sign-in attempt from an unfamiliar country. Engineers answer the help desk from 4 a.m. to 11 p.m. Eastern, and a suspected account compromise goes straight to the firm's dedicated engineer, who can lock accounts and revoke sessions in minutes.
Exploitation holds, trusted contacts and the paper trail
Florida law gives advisers a tool and attaches conditions. Under section 517.34 of the Florida Statutes, an investment adviser or dealer that reasonably believes a client 65 or older, or a vulnerable adult, is being financially exploited may delay a disbursement, but only if it already has training policies, annual training with written records and written internal review procedures. Within three business days the firm must notify account parties and any trusted contact in writing and notify the Office of Financial Regulation electronically. Those are records problems as much as judgment calls. We set up a restricted SharePoint library for exploitation reviews, a ticket workflow that time-stamps each step, KnowBe4 training with completion records, and CRM fields for trusted contacts, so the evidence of a good-faith hold exists when someone challenges it.
When Milton reached Siesta Key
Milton made landfall near Siesta Key on October 9, 2024 as a Category 3 hurricane and left more than 223,000 Sarasota County electric customers without power, two weeks after Helene's surge. For an advisory firm the risk is less lost data than lost contact: clients who need cash after a storm, and staff who cannot reach the office. Our continuity design keeps the CRM, planning software and custodian platforms reachable from managed laptops anywhere, forwards office phones to mobiles automatically, backs up Microsoft 365 independently of Microsoft, and keeps a printed and digital list of custodian service lines. A short client notice is drafted before June, telling clients how to reach the firm and reminding them that it will never ask them to send money by email or text.

Rules that shape IT for Sarasota wealth management firms
Amended Regulation S-P
Since June 3, 2026, even the smallest SEC-registered advisers must keep written policies for an incident response program covering unauthorized access to customer information, send affected customers a notice within 30 days of learning of it, and require service providers, from the IT firm to the CRM vendor, to report a breach to them within 72 hours. The amended rule's definition of customer information also reaches data the firm receives about other financial institutions' customers.
Florida Statutes section 517.34
Allows advisers and dealers to delay disbursements from the accounts of specified adults, people 65 or older or vulnerable adults, when exploitation is reasonably suspected. A delay expires after 15 business days and can be extended by up to 30 more business days if the review still supports it, with notice to the Office of Financial Regulation. Delays made in good faith and with reasonable care carry immunity from administrative and civil liability.
Office of Financial Regulation expectations for state-registered advisers
Smaller advisers, generally those under $100 million in assets, register with Florida rather than the SEC. The OFR's compliance alert on cybersecurity notes that Florida has no rule written specifically for cybersecurity and points to the written compliance policies and supervisory procedures the Florida Administrative Code already requires, so examiners expect cyber controls to appear in the compliance manual and to match what the firm actually runs.
Florida Information Protection Act
Section 501.171 of the Florida Statutes covers personal information the firm holds on Florida residents, including account numbers with their access codes and online credentials. Vendors holding that data must report a breach to the firm within 10 days, and the firm must notify affected individuals within 30 days and the Department of Legal Affairs when 500 or more Floridians are involved. Wealth Management Firms in Sarasota: FAQs
Who provides IT support for wealth management firms in Sarasota?
NetSys does, remotely from Brooklyn. We work with RIAs, independent advisors and small multi-family offices on the help desk, managed laptops, Microsoft 365, email archiving, security, backups and the written programs examiners ask for. Founded in 1998, we keep 98% of our clients, and agreements run month to month. Each firm has a dedicated account manager with a real cell number, and severe incidents go straight to an assigned engineer who knows your setup.
How does IT support work for Sarasota wealth management firms?
Staff contact the help desk by phone, email or portal between 4 a.m. and 11 p.m. Eastern any day of the week, and an engineer resolves most requests in one remote session. Monitoring and emergency response continue overnight. Because NetSys does not send technicians to Sarasota, we ship configured laptops for new hires and replacements, and your office manager connects anything physical with an engineer on the line. Quarterly reviews happen by video with your chief compliance officer.
What does IT support cost for a Sarasota RIA?
The fee is per user per month, set after an assessment, and we do not publish a rate. It depends on how many advisers and staff you have, how many custodians and outside platforms we coordinate, archiving and retention requirements, how much Regulation S-P and exploitation-review documentation you want us to maintain, and whether a server remains in the office. Projects such as a SharePoint cleanup are quoted separately, and there is no long-term contract.
How can IT help protect older clients from wire fraud?
By making sure no single message can move money. We set up a written callback rule using a phone number already on file, flag external senders and look-alike domains, block automatic forwarding to outside addresses, and alert your team when a client's request arrives from a new email address. Staff get KnowBe4 training built on elder-fraud scenarios. When a request looks wrong, a ticket records who checked what and when, which supports a delay under Florida's section 517.34 if the firm decides to place one.
Do you support state-registered advisers as well as SEC-registered firms?
Yes. A state-registered adviser examined by Florida's Office of Financial Regulation faces a different rulebook, but the controls are much the same: multifactor authentication, encrypted devices, tested backups, vendor reviews and an incident plan. The OFR expects them written into the compliance manual. We document what actually runs so the manual and the systems agree, and when a growing firm crosses into SEC registration, the same evidence carries into its Regulation S-P program.
What do we need for an exam under amended Regulation S-P?
Examiners will ask for the written incident response program, evidence that it works, the list of service providers with their breach-notice terms, and records of any incidents and notices. We maintain the vendor register, keep sign-in and device logs, run an annual tabletop exercise with your team and record the results, and produce a short evidence binder before each exam. Your chief compliance officer keeps ownership of the policies; we keep the technical proof current.
