Wealth Management IT Support in Tampa, FL
Tampa's independent advisors and RIAs work out of Westshore towers, downtown offices and home offices from South Tampa to Wesley Chapel. NetSys gives them the IT an SEC examiner expects to see: an incident response program that meets amended Regulation S-P, archived communications, locked-down custodian access and tested backups, managed remotely from Brooklyn.
The short answer
NetSys provides IT support and cybersecurity for wealth management firms, registered investment advisers and independent financial advisors in Tampa. We run the help desk, devices, Microsoft 365, email archiving, multifactor authentication on custodian and CRM logins, ThreatDown MDR, backups and the written incident response program that amended Regulation S-P requires, with evidence ready for SEC or Florida OFR exams. Support is remote; NetSys does not send technicians to Tampa offices, and new laptops ship pre-configured. Engineers staff the help desk from 4 a.m. to 11 p.m. Eastern, seven days a week. Pricing is per user per month after an assessment.

How Tampa advisory firms work, and what that means for IT
Westshore is Tampa Bay's largest employment center, with more than 15 million square feet of office space and about 100,000 workers by the Westshore Alliance's count, and North Westshore Boulevard alone holds offices for several wealth firms, from national RIAs to independent teams. Across the bay, Raymond James's St. Petersburg headquarters anchors a large network of affiliated and independent advisors, and the Tampa Bay EDC reports that Hillsborough's financial and professional services employment grew 12 percent between 2020 and 2024. The result is a lot of small firms in transition: teams leaving a broker-dealer to form an RIA, RIAs adding a second custodian, hybrid advisors who work from a Westshore suite three days a week and from home in Brandon the rest. Every one of those moves touches IT. New email domains need archiving, new devices need enrolling, and custodian and CRM access must be ready before day one and removed cleanly from the old firm. We plan transitions to the day, keep client data off personal devices, and document each step for the compliance file.
Remote support built around advisors
NetSys supports Tampa wealth firms remotely, from Brooklyn, and does not send technicians on site. For an advisory practice that is mostly an advantage: the systems that matter, custodian platforms, the CRM, portfolio reporting, financial planning software and Microsoft 365, are cloud services, and the real job is controlling who reaches them from which device. Every laptop is enrolled through Windows Autopilot and Intune, encrypted and covered by ThreatDown. Conditional Access lets an advisor open client data only from a managed device, which also answers the examiner's question about personal phones. A new associate's laptop ships to the office or home with everything installed. The help desk hours, 4 a.m. to 11 p.m. Eastern, cover the market open and the evening client calls, and an account takeover or a suspicious wire request goes straight to your dedicated engineer.
Texts, email and the books-and-records problem
SEC-registered advisers must keep written business communications under the Advisers Act books-and-records rule, Rule 204-2, and in 2024 alone the SEC settled off-channel communication cases with dozens of broker-dealers and advisers for more than $470 million combined, most of it over texts and messaging apps on personal phones. A small Tampa RIA does not need a big-firm budget to avoid that, but it does need a decision and the tools to enforce it. We archive Microsoft 365 email and Teams chats with retention that matches your policy, set up a business texting channel that is captured, block client data from unmanaged phones with Intune app protection, and give the chief compliance officer search and export rights. When an examiner asks for every message with a client during March, the answer takes minutes rather than a weekend.
Storm season, wire fraud and continuity
Milton cut power to more than half of Tampa Electric's customers in October 2024, two weeks after Helene's record surge flooded low-lying South Tampa. A continuity plan, which FINRA members must keep under Rule 4370 and which SEC examiners routinely ask advisers about, has to work when the office is dark and advisors have evacuated. Ours means cloud systems reachable from any managed laptop, phones that forward to mobiles automatically, Microsoft 365 backed up independently of Microsoft, and a contact sheet for every custodian service desk. Fraud is the other daily risk. Criminals impersonate clients by email to request wires, so we add impersonation filtering, tag external senders, alert on new forwarding rules, and support a callback to a phone number already on file before any disbursement leaves the firm.

Rules that shape IT for Tampa wealth management firms
Amended Regulation S-P (17 CFR 248.30)
SEC-registered advisers and broker-dealers must run a written incident response program to detect, respond to and recover from unauthorized access to customer information, notify affected customers as soon as practicable and no later than 30 days after becoming aware of it, and oversee service providers, which must report a breach to the firm within 72 hours. Larger entities had to comply by December 3, 2025 and smaller entities by June 3, 2026, so every registered adviser is now covered.
Regulation S-ID identity theft red flags
SEC-registered advisers and broker-dealers that hold covered accounts, such as accounts where the firm can move money to third parties on a client's instruction, must keep a written program to detect and respond to identity theft red flags. An emailed request to change an address or wire instructions is a classic red flag, so the written program and the IT controls should describe the same verification and callback steps.
Books and records (Advisers Act Rule 204-2)
Requires advisers to keep written communications about recommendations, advice and certain other matters, generally for five years, the first two in an easily accessible place. The rule reaches texts and messaging apps used for business as much as email, which is why archiving, retention settings and a clear policy on personal devices belong in the IT plan rather than only in the compliance manual.
Florida Information Protection Act (Fla. Stat. 501.171)
Applies to Florida clients' personal information alongside the federal rules. It requires reasonable security measures, notice to affected individuals within 30 days of determining a breach and notice to the Department of Legal Affairs when 500 or more Floridians are affected. Notice sent under the rules of a firm's primary or functional federal regulator is deemed to comply with the individual-notice requirement. This is general information, not legal advice.

Wealth Management Firms in Tampa: FAQs
Who provides IT support for wealth management firms in Tampa?
NetSys does, remotely from our office in Brooklyn. We support RIAs, hybrid advisors and independent teams with the help desk, managed laptops, Microsoft 365, archiving, security and backups, and we produce the evidence a Regulation S-P exam asks for. Our engineers hold degrees in electrical engineering, electronics engineering or computer science, with Cisco and Microsoft certifications. Every firm gets a dedicated account manager with a real cell number, and agreements run month to month.
How does IT support work for Tampa wealth management firms?
Advisors and operations staff call, email or open a ticket, and an engineer fixes the problem over a remote session, usually within minutes. We watch every device through NinjaOne and ThreatDown, control sign-ins through Entra ID Conditional Access and keep Keeper vaults for shared custodian credentials. A compromised mailbox or a suspicious money-movement request goes straight to your dedicated engineer. NetSys does not send technicians to Westshore or downtown Tampa; laptops and network equipment ship configured.
What does IT support cost for an RIA in Tampa?
We charge per user per month after an assessment and do not publish rates. For a Tampa RIA the fee depends on headcount and devices, the number of custodians and outside platforms we coordinate, archiving and e-discovery needs, how much Regulation S-P documentation and exam support you want, and whether any server remains in the office. Projects such as a breakaway transition are quoted separately. There is no long-term contract.
How do you help Tampa advisers meet amended Regulation S-P?
We write the incident response program with your chief compliance officer and make the IT match it: how an incident is detected, who is called, how accounts are contained, how customer information is identified and how notices are prepared within 30 days. We keep the vendor list with each provider's 72-hour breach-notice terms, collect the logs and device records an examiner will ask for, and run a tabletop exercise each year so the plan is practiced, not just filed.
We are leaving a broker-dealer to start an RIA. Can you have IT ready on day one?
Yes, if we start four to six weeks ahead. We register the new domain and Microsoft 365 tenant, build email archiving and multifactor authentication from the first mailbox, order and enroll laptops through Autopilot, set up the CRM, document storage and Keeper, and prepare the custodian and portfolio-reporting connections with each vendor. On transition day advisors sign in to a working firm. We keep everything off the old firm's devices and networks so the departure stays clean.
Do you support our CRM, portfolio-reporting and custodian platforms?
We support the access, devices and integrations around them rather than the applications' investment functions. That means single sign-on and multifactor authentication where the platform supports it, managed browsers, printer and scanner setup for paperwork, document imports, and tickets with the vendor when something breaks. We also review who holds administrator rights on each platform every quarter and remove access the day someone leaves.
