Healthcare IT Support in Tampa, FL

Tampa Bay healthcare is led by large hospital systems, and the independent groups, specialty networks and clinics around them have to meet the same patient expectations with far smaller IT teams. NetSys runs that IT as one program across every location: identity, EHR access, site networks, security monitoring, backups and HIPAA documentation, delivered remotely from Brooklyn.

The short answer

NetSys provides healthcare IT support and managed IT for Tampa medical groups, specialty networks, clinics and other healthcare organizations: a HIPAA Security Rule program built on a current risk analysis, standard site networks on Meraki or Fortinet, one Entra ID identity per person behind multifactor sign-in, ThreatDown MDR, encrypted devices, and tested EHR and imaging backups. Our engineers work from Brooklyn, none of them travel to Tampa locations, and devices ship pre-configured for each site. Monitoring and emergency service run 24/7; the help desk is staffed seven days a week from 4 a.m. to 11 p.m. Eastern time. Pricing is per user per month after an assessment.

Healthcare in Tampa Bay: large systems, many small sites

Tampa General Hospital, a 1,041-bed academic medical center on Davis Islands, is USF Health's primary teaching hospital. BayCare runs 16 hospitals across the region, including St. Joseph's in Tampa, St. Joseph's North in Lutz and St. Joseph's South in Riverview, and the Tampa Bay Business Journal's 2026 ranking placed BayCare and Tampa General among the area's largest employers. Moffitt Cancer Center, an NCI-designated comprehensive cancer center, and the James A. Haley VA hospital add more. Independent physician groups, specialty networks, imaging and therapy clinics and home health agencies work in the space between them, usually with several small locations spread from Brandon to Wesley Chapel and across the bay. Each site has a few workstations, a printer, a check-in desk and a connection to the EHR, and the risk is that every site has been set up differently. The 2023 intrusion at Tampa General, in which attackers took files on about 1.2 million patients between May 12 and May 30 before monitoring stopped an encryption attempt, shows that detection speed decides how bad the day becomes.

One HIPAA program for every location

A clinic network needs one security program, not one per site. We start with a risk analysis covering every location, device and system that touches patient information, then build to a written standard: the same firewall model and configuration at each site, managed centrally; one Entra ID identity per person with multifactor sign-in and Conditional Access; encrypted laptops and tablets enrolled in Intune; ThreatDown MDR on every endpoint; and audit logs kept where staff cannot delete them. New sites are built from the standard instead of improvised, so opening a location in Riverview or Wesley Chapel means shipping configured equipment rather than reinventing the network. Policies, inventories and evidence live in IT Glue, ready for an auditor, a payer or a cyber insurer's renewal questions, and business associate agreements are tracked vendor by vendor.

How remote support works for Tampa clinics

Every clinic is managed from our Brooklyn office; no NetSys technician goes to a Tampa site. Firewalls and switches are Meraki or Fortinet, configured from the cloud before they ship; a staff member or your cabling contractor plugs them in, and we bring the site online while they watch. Check-in PCs and exam-room workstations arrive enrolled through Windows Autopilot. A failed device is replaced by shipping a configured spare, which is why we recommend keeping one in the region. Severe problems, such as ransomware, a site that has lost its internet connection or an unreachable EHR, go straight to the dedicated engineer who knows your network. Everything else runs through the help desk, where our written targets for critical issues are a phone response inside ten minutes and remote remediation under way inside thirty.

Keeping care going through a storm

On Davis Islands, Tampa General's AquaFence flood barrier held back Hurricane Helene's surge in September 2024. Smaller organizations rarely have a flood wall, so they need a plan that does not depend on any single building. HIPAA already requires a contingency plan, and three of its pieces are mandatory: backing up the data, recovering it after a disaster, and keeping critical processes running in emergency mode. We make those real. The EHR runs in the vendor's cloud or a hosted environment where possible; on-premises servers and imaging archives are backed up to Datto SIRIS with copies outside Florida; each site's firewall has a cellular failover line; and clinicians know how to reach charts from a laptop at another location. Before June 1 every year we test a restore and walk your managers through the closure checklist, including printed downtime forms at each front desk.

The rules that apply

Compliance rules for Tampa healthcare organizations

HIPAA Security Rule (45 CFR 164.308 to 164.316)

Covered entities and business associates must perform an accurate and thorough risk analysis, manage the risks it identifies, and maintain administrative, physical and technical safeguards, among them unique user identification, audit controls, integrity controls and transmission security, plus the contingency plan described above. HHS published proposed changes on January 6, 2025; until a final rule is issued, the current rule governs.

Where patient data may be stored (Fla. Stat. 408.051(3) and 408.810(14))

Health care providers that use certified EHR technology must keep patient information stored offsite, including in cloud services, physically within the continental United States, its territories or Canada. Providers licensed by the Agency for Health Care Administration also attest to that, under penalty of perjury, on initial and renewal license applications. We check data location for the EHR, the backups and every cloud tool before a contract is signed.

HIPAA breach notification and Florida's shorter clock

HIPAA requires notice to affected patients without unreasonable delay and within 60 days of discovering a breach, with HHS notified when 500 or more people are affected and prominent media when more than 500 residents of one state are. Florida's Information Protection Act counts medical and health insurance information as personal information and sets a 30-day deadline for notifying affected Floridians, so incident plans should run on the shorter clock unless counsel advises otherwise. Common Questions

Healthcare Organizations in Tampa: FAQs

Who provides healthcare IT support in Tampa?

NetSys does, for medical groups, specialty networks, clinics and other healthcare organizations that want one accountable IT provider across several sites. We run the help desk, devices, networks, Microsoft 365, security monitoring, backups and HIPAA documentation, and we coordinate with the EHR, imaging and phone vendors. Our only office is in Brooklyn, NY; we have been in business since 1998, and agreements run month to month, with one named account manager for the organization.

How does IT support work for Tampa healthcare organizations?

Entirely remotely. Engineers manage firewalls, switches, Wi-Fi and every workstation through cloud consoles and NinjaOne, ThreatDown MDR analysts watch for attacks at all hours, and the help desk takes the daily requests from front desks and clinicians. Because we never send technicians to Tampa locations, each new device ships configured, and whoever installs it, your staff or your cabling contractor, has our engineer talking them through it.

What does managed IT cost for a Tampa healthcare organization?

The fee is per user per month, set once we have assessed your sites, and we keep no public price list. Site count matters as much as headcount, because each location adds a firewall, switches, Wi-Fi and a failover line to manage. Other drivers are on-premises servers and imaging archives, the number of clinical applications and interfaces, and how much HIPAA evidence you want maintained for audits. New-site buildouts and migrations are quoted as projects.

How do you help Tampa healthcare organizations complete a HIPAA Security Rule risk analysis?

We inventory every system that creates, receives, stores or transmits patient information, across all sites and cloud services, then assess threats, current controls, likelihood and impact for each. The output is a ranked risk register with owners and dates, not a generic checklist. We repeat it when something significant changes, such as a new location, a new EHR or an acquisition, and on a regular schedule, usually yearly, keeping evidence of each fix. Our HIPAA compliance audit service covers deeper reviews.

Do you support our EHR and practice systems?

We support the infrastructure every clinical application depends on: workstations, the network between sites, identity and single sign-on, printers and scanners, interfaces to labs and imaging, and any servers running locally. The EHR vendor supports its own software, and we work the ticket with them when the cause is unclear. We also manage access, so new clinicians have the right roles before their first shift and departing staff lose access the same day.

How should a multi-site Tampa practice prepare for hurricane season?

Decide which sites close first and how patients will be told, confirm the EHR can be reached from any location or from home, and make sure no clinic depends on a local server without an out-of-state backup. Put a cellular backup line on every firewall and test it under load. Keep paper downtime procedures at each front desk, and name who calls the dedicated engineer if a site goes dark. We run the checklist with your managers each May.
