Wealth Management IT Support on Long Island

Independent advisers on Long Island work from professional suites in Melville, Jericho, Woodbury, Garden City and Huntington, and many are small teams that lean on a custodian for trading and statements. NetSys covers what the custodian does not: laptops and phones, Microsoft 365, access to the portals advisers live in, message archiving and the security an SEC examiner will ask to see.

The short answer

NetSys provides IT support for wealth management firms on Long Island, including registered investment advisers and the offices of independent broker-dealer representatives. We manage devices and Microsoft 365, enforce multifactor sign-in, archive email and approved messaging, run managed detection and response, encrypt client documents and help build the written incident response program the amended Regulation S-P requires. Engineers come on site across Nassau and western Suffolk from our Brooklyn office; Patchogue and Port Jefferson offices get a confirmed drive time, and East End practices are supported remotely. Monitoring and emergency service run 24/7; the help desk is staffed seven days a week from 4 a.m. to 11 p.m. Eastern time.

What changes for an advisory practice on Long Island

A Long Island advisory practice serves clients spread across the whole Island and beyond: retirees on the North Shore, owners selling businesses built in Hauppauge or Farmingdale, families who spend summers on the East End and winters in Florida. Advisers work from the office part of the week and from home the rest, and many still meet clients at their kitchen tables. That spread drives the risks. Clients email account numbers and tax returns. Impostors send wire requests that read like the real client. Advisers text clients from personal phones, a habit the SEC has treated as a books-and-records failure in its off-channel communications cases. Staff sign in to custodian, financial planning, CRM, portfolio reporting and e-signature platforms from many places, and each one is a door into client data. The amended Regulation S-P also makes the firm responsible for overseeing the service providers behind those platforms. So the IT plan has to cover every path to client information, not just the office network, and leave records an examiner can follow.

How support works for a Long Island advisory office

Advisers need answers before the market opens and after clients leave, which suits a help desk staffed from 4 a.m. to 11 p.m. Eastern. Most requests are remote: a custodian login that needs a new token, a scanner that will not send to the document vault, a laptop that dropped off the VPN at home, a new associate who needs accounts by Monday. Engineers drive out from Park Slope, about an hour to Jericho, Woodbury or Garden City and somewhat longer to Melville and Huntington, to set up an office, fix conference room video for client reviews, replace a firewall or move a practice to a new suite. Severe problems, such as a suspected account takeover, go straight to your dedicated engineer, and the written commitment for critical issues is a ten-minute phone response and a thirty-minute remote response.

Regulation S-P, archiving and the evidence an examiner wants

The amended rule asks for a written incident response program, notice to affected clients within 30 days, oversight of service providers and records showing all of it. We turn that into working parts. Email and approved messaging are captured to a compliant archive, and Intune app protection keeps firm data inside managed apps on advisers' phones, so texting clients through an approved, archived channel is easier than using a personal number. A vendor register lists each provider holding client data, its security attestations and its breach notice terms. The incident response plan names who investigates, who decides whether notice is needed and who drafts it. When an exam request letter arrives, the policies, access reviews, MFA reports, KnowBe4 training records, ThreatDown and backup reports are already in IT Glue, organized by the questions examiners ask.

Wire fraud, account takeover and getting the office back

The losses that hit small advisory firms most often begin with a hijacked email account or a convincing phone call. Our controls are practical: phishing-resistant multifactor sign-in for advisers, Conditional Access that blocks sign-ins from unmanaged devices, alerts on new mailbox forwarding rules, external-sender tags, DMARC to reduce spoofing of your domain, and a written rule that any distribution or wire request is confirmed by calling the client at a number already on file. Keeper holds shared credentials, so a departing employee cannot keep a custodian login. For recovery, Microsoft 365 and SharePoint are backed up outside Microsoft's own retention, laptops are encrypted and replaceable through Autopilot, and the office can close for a storm like Isaias without client service stopping. Of the more than 30 ransomware incidents NetSys has handled in three years, none ended without a full recovery.

The rules that apply

Rules Long Island wealth managers work under

SEC Regulation S-P, as amended in 2024

The amendments adopted in May 2024 require broker-dealers, registered investment advisers and other covered institutions to keep a written incident response program to detect, respond to and recover from unauthorized access to customer information, to oversee service providers through due diligence and monitoring, and to notify affected individuals as soon as practicable and no later than 30 days after becoming aware of unauthorized access to sensitive customer information. The smaller-entity compliance date of June 3, 2026 has passed, so the rule now applies to every adviser it covers.

Advisers Act books and records, Rule 204-2

Rule 204-2 requires advisers to make and keep specified books and records, including written communications about recommendations and advice. Through its off-channel communications initiative the SEC has charged firms whose staff used texting and messaging apps the firm did not capture, with penalties and compliance undertakings. Communications rules for broker-dealer representatives come from their firm and FINRA as well.

Who registers where

According to the New York Attorney General's investment adviser FAQ, an adviser with its principal place of business in New York must register with the SEC once it has $25 million or more in assets under management. Smaller New York advisers file their Form ADV through IARD with the Attorney General's office instead. Regulation S-P reaches SEC-registered advisers; state-registered firms still answer to the SHIELD Act.

SHIELD Act, GBL 899-aa and 899-bb, for advisers

Regulation S-P implements Title V of the Gramm-Leach-Bliley Act, so an adviser that complies with it is a compliant regulated entity for the safeguards duty in section 899-bb. Section 899-aa still governs breach notice to New York residents: within 30 days of discovery, with copies to the Attorney General, the Department of State and the State Police. Common Questions

Wealth Management Firms in Long Island: FAQs

Who provides IT support for wealth management firms on Long Island?

NetSys does. Advisory offices in Nassau and western Suffolk get engineers on site from Brooklyn, while East End practices are handled remotely. We act as the IT and security team for registered investment advisers and independent advisory offices: devices, Microsoft 365, portal access, archiving, security and backups, with the documentation compliance needs. Your custodian, broker-dealer and software vendors keep their own support, and we coordinate with them. Agreements run month to month, with no long-term contract.

What does IT support cost for a wealth management firm on Long Island?

It is a per-user monthly fee set after an assessment, and we do not publish a price. The fee depends on the number of advisers and staff, the devices and phones under management, the number of offices, the archiving and encryption services you need, and how much exam and due-diligence documentation we maintain. A move to a new suite, a tenant migration or a new archiving platform is quoted separately after scoping.

How do you help Long Island advisers meet the amended Regulation S-P?

We write the technical parts of the incident response program with your chief compliance officer: how incidents are detected and logged, who investigates, how containment works and how the 30-day notice decision is made and documented. We build the service provider inventory, collect each vendor's attestations and run a tabletop exercise each year. Detection comes from ThreatDown and Microsoft 365 alerting, and the logs are kept so you can show what happened.

Do you support our CRM, portfolio reporting and custodian platforms?

Yes, around them. Most of those platforms are cloud services, so our work is identity and access: single sign-on and MFA where the vendor supports it, access tied to roles, quick removal when someone leaves, and managed browsers and devices. We also handle integrations with Microsoft 365, scanning to the document vault and e-signature setup. Problems inside a platform stay with its vendor, and we open and follow those tickets with you.

Can our advisers text clients?

They can if the firm captures the messages. The SEC treats business texts as communications that may have to be kept under Rule 204-2, and it has charged firms whose staff texted from personal phones. We set up an approved messaging channel that archives automatically, put firm apps on advisers' phones under Intune management, and write a short policy that says which channels are allowed. Then the rule is easy to follow.

What should we do before an SEC exam?

Gather the cybersecurity documents examiners usually ask for: written policies, the incident response program, the vendor inventory, access reviews, MFA and endpoint coverage reports, training records, backup and restore tests and any incident logs. We keep these in IT Glue and refresh them quarterly, so an exam request is a matter of exporting files. We also run our free external penetration test, a remote test within an agreed scope, and fix what it finds.
