What changes for an advisory practice in New York City

New York sends advisers to the SEC early. Under the Attorney General's rules, a firm with its principal place of business in New York registers with the SEC once it manages $25 million or more, so even a small Manhattan practice usually answers to SEC rules, including the amended Regulation S-P. Advisers with under $1.5 billion in assets had to comply with those amendments by June 3, 2026. Some New York advisers also hold insurance licenses from the Department of Financial Services to place annuities or life coverage, and an individual licensee can be a covered entity under 23 NYCRR 500 with its own filing each April 15. Client work happens in conference rooms in Midtown towers, in clients' homes and on the phone, often by text. Custodian platforms, portfolio management and financial planning software, the CRM, e-signature and the client portal all sit behind sign-ins that need to follow the adviser, not the desk. And clients here move large sums, which makes advisers' inboxes a steady target for wire fraud.

On-site and remote support for advisory offices

Advisers notice IT problems most in the hour before a client meeting and in the first hour of trading. The help desk opens at 4 a.m. Eastern, so a locked custodian login or a laptop that will not connect gets attention well before 9:30. If it is critical, the written commitment is ten minutes to a phone response and thirty to remote work. Engineers come to the office from Park Slope for conference room screens and cameras, a new firewall, a desk move or a new hire's setup, and Midtown is a 35 to 45 minute trip. Phones get the same care as laptops: Intune app protection keeps firm apps and data in a managed space, so a lost phone can be wiped of firm data without touching an adviser's personal photos.

Custodians, CRM and the client portal: access that follows the adviser

An advisory firm's systems are mostly other companies' platforms: the custodian, portfolio reporting, planning software, the CRM and e-signature. We put single sign-on through Entra ID in front of the ones that support it, require multifactor authentication on the rest, and keep a list of who has access to each, reviewed every quarter. When an adviser leaves, access to every platform ends the same day, and the mailbox and files are preserved for the books-and-records period. Client documents travel through an encrypted portal or encrypted email instead of plain attachments. Shared credentials for platforms without individual logins live in Keeper, with each use logged. Each platform's contract is also checked for how fast the vendor must report a breach, since the firm now has to oversee its service providers.

Wire fraud, impersonation and texting records

Criminals who take over a client's email or register a lookalike address ask for distributions, address changes or new wire instructions, often timed for when the adviser is traveling. Barracuda Email Protection catches much of it, and DMARC on the firm's domain reduces spoofing of the firm itself. The control that stops the loss is procedural: every money movement or bank change requested by email is confirmed by a call to a number already on file. Texting is the other exposure. In April 2024 the SEC brought its first off-channel recordkeeping case against an adviser with no broker-dealer affiliation, with a $6.5 million penalty, after employees discussed the business on personal devices. We help the firm choose an approved channel that keeps business messages, deploy it on managed phones and document the policy staff sign.

The rules that apply

Rules that apply to NYC wealth management firms

SEC Regulation S-P (amended 2024)

SEC-registered advisers must keep a written incident response program, notify affected individuals as soon as practicable and no later than 30 days after learning that someone without authorization reached, or likely reached, sensitive customer information, and oversee service providers, who must alert the firm within 72 hours of a breach. Larger firms had to comply by December 3, 2025 and smaller ones by June 3, 2026.

Books and records (Advisers Act Rule 204-2)

Advisers keep written communications about recommendations and advice. The SEC has applied that requirement to texts and messaging apps on personal phones, so the firm needs an approved channel that retains business messages, a written policy and training. We set retention for business email and Teams in Microsoft 365 and deploy the approved messaging tool on managed devices.

NYDFS 23 NYCRR 500 for insurance licensees

An adviser who holds a New York insurance license is a DFS licensee and a covered entity unless an exemption applies. A practice with fewer than 20 employees and contractors, or under the revenue or asset thresholds, can use the §500.19(a) limited exemption, which still requires multifactor authentication for remote access, for third-party applications holding nonpublic information and for privileged accounts. Annual filings are due April 15, and incidents go to DFS within 72 hours.

New York SHIELD Act (GBL §§899-aa, 899-bb)

New York's breach statute treats client account numbers, Social Security numbers and online credentials as private information. Notice to affected New Yorkers is due within 30 days of discovery, and a Part 500 covered entity also tells DFS, on top of the notices to the Attorney General, State Police and Department of State. A firm subject to and compliant with rules under the Gramm-Leach-Bliley Act counts as a compliant regulated entity for the safeguards duty. This is general information, not legal advice.

Common Questions

Wealth Management Firms in New York City: FAQs

Who provides IT support for wealth management firms in New York City?

NetSys does, from our Brooklyn office, for advisory practices across the five boroughs. We run the help desk, adviser laptops and phones, the Microsoft 365 tenant, identity and email protection, ThreatDown endpoint detection and backups, and keep the records an SEC examination or a DFS filing calls for, current and dated. Your custodian, portfolio and planning vendors support their own platforms; we manage access to them and work with their support teams when something breaks. We never name clients in marketing.

Do you provide on-site IT support for wealth management firms in New York City?

Yes. Advisory offices anywhere in the city get engineer visits from Park Slope for conference rooms, network equipment, new-hire setups, desk moves and firewall or server replacements. Most requests are handled remotely first, often before the market opens, and an emergency, ransomware or a lost internet connection, is routed to your dedicated engineer at once. We work around client meetings and schedule larger changes after the close or on weekends.

What does IT support cost for a wealth management firm in NYC?

You pay a per-user monthly fee, set after an assessment of the firm. What moves the number is headcount, the devices each adviser uses, how many platforms need access management, whether you want communications retention and compliance evidence handled for you, and whether you also carry DFS obligations. Projects such as an office move or a Microsoft 365 tenant cleanup are quoted after scoping. Prices are not published, and agreements run month to month.

How do you help an RIA meet the 2024 amendments to Regulation S-P?

We write the incident response program with you, covering how an incident is detected, assessed, contained and documented, and who decides on customer notice within the 30-day window. We inventory every service provider that holds customer information, check each contract for the 72-hour breach notice, and record the review. The technical side, such as multifactor authentication, endpoint detection, encryption and log retention, is put in place and dated, so the program describes controls that actually run.

Can our advisers text clients?

Only through a channel the firm approves and retains. The SEC's recordkeeping rule covers written communications about advice, and its enforcement actions since late 2021 have centered on business texts sent from personal phones. The practical setup is a messaging tool that archives automatically, installed on managed phones or in a managed work profile, with a policy that client conversations stay there. We deploy the tool, set the retention, and document the policy and training for your compliance file.

Do you support the portfolio management and CRM platforms advisers use?

We support access to them and everything underneath: single sign-on or multifactor authentication on each platform, the browsers and devices advisers use, integrations that move data between the CRM and Microsoft 365, and offboarding when someone leaves. The platform vendors support their own software and we open tickets with them when needed. Before you add a new platform, we read its security documentation with you so the decision is made with the facts in hand.
