IT Support for Accounting Firms in New York City

A New York City accounting firm might run a Manhattan headquarters, a second office in Queens, partners working from home across the river, and a busy-season team that needs laptops in January and loses access when the season ends. We support the whole footprint with one help desk and one set of security controls, and our engineers work on-site in all five boroughs.

Managed IT services for accounting firms across NYC

When a firm spreads across the city, with more than one office and a seasonal team, the IT has to treat all of it as one firm. Every office gets the same identity rules, device standards and backups, and the sites are connected so a file opened in Midtown is the same file in Flushing. Seasonal hires are onboarded from a checklist (named account, managed laptop, folder access, end date), and access ends on the date set at hiring, whether that falls after April 15 or after the October extension deadline. Firms with DFS-regulated clients also field vendor security questionnaires, which we help answer from evidence. The Brooklyn accounting page tells two engagements in the borough; this page is for firms with offices across the city.

Everything else about how we serve the area, including coverage, on-site cadence and the honest answer about where our office is, lives on our New York City location page.

The rules that apply

Rules for NYC accounting firms

FTC Safeguards Rule (16 CFR Part 314)

An accountant or tax preparation service is a financial institution under the rule at any size. The firm names a Qualified Individual, enforces MFA for anyone who reaches client data, encrypts that data at rest and in transit, and reports to the FTC within 30 days when unencrypted records on 500 or more consumers are taken.

IRS Publication 4557 and the WISP

Safeguarding Taxpayer Data walks tax professionals through the Safeguards Rule, and Publication 5708 provides a WISP template. In a multi-office firm the plan must cover each location, remote partners and seasonal hires, so we tie it to the device and access records we already keep.

NY SHIELD Act (GBL §899-aa and §899-bb)

A breach of New York residents' private information requires notice within 30 days of discovery, with reports to the Attorney General, the Department of State and the State Police. For the §899-bb safeguards duty, a firm in compliance with the Gramm-Leach-Bliley safeguards regulations counts as a compliant regulated entity, and a small business as the statute defines it needs safeguards suited to its size.

Clients under NYDFS (23 NYCRR 500.11)

Insurers, licensed lenders and other DFS-regulated clients must assess the security of service providers that hold their nonpublic information, and an outside accounting firm can be one. Their questionnaires are easier to answer when the evidence already exists.

Common Questions

Accounting Firms in New York City: FAQs

Who provides IT support for accounting firms in NYC?

NetSys does, from our Brooklyn office, with engineers on-site in every borough. One agreement covers all your offices and remote partners: help desk, monitoring, Microsoft 365, security, backups and the WISP, with your tax and practice-management vendors coordinated for you. Agreements are month to month, and client names stay out of our marketing.

What compliance rules apply to accounting firms in NYC?

The FTC Safeguards Rule (16 CFR Part 314) treats tax preparers as financial institutions, IRS Publication 4557 lays out the controls and the WISP, and New York's SHIELD Act (GBL §899-aa and §899-bb) sets breach notice and safeguards. DFS-regulated clients may add vendor questionnaires. This is general information, not legal advice.

How fast is on-site response in NYC?

Remote help comes first, ordered by severity under the response-time table on our managed IT services page, and each office's on-site arrival window is agreed in writing. Our engineers work from Brooklyn and cover all five boroughs. Busy-season preparation, such as setting up seasonal laptops through Autopilot, is scheduled weeks ahead so it stays clear of deadline days.

Can you support accounting offices in more than one borough?

Yes. We connect the offices so staff reach the same files and applications from any of them, and access follows the person rather than the desk: a partner in Manhattan on Monday and Queens on Thursday signs in once, with MFA, and works. Printers and network equipment at each site are ours to manage too.

What does cybersecurity for accounting firms in NYC include?

Conditional access and MFA on every account, endpoint detection on firm devices, filtering for refund scams and emails impersonating partners, encrypted client file exchange, and immutable backups with timed restores. Seasonal staff get the same controls as partners from their first day, and their access ends on their last.
