IT Support for Dental Practices in New York City
A New York City dental office fits a lot into a small suite: an imaging PC in every operatory, a practice-management server in a closet that doubles as storage, and a front desk handling calls, texts and insurance checks. We keep that equipment working and the patient data protected, with engineers on-site from our Brooklyn office.
The short answer
NetSys provides IT support for dental practices in New York City: the server and workstations behind Dentrix or Eaglesoft, imaging PCs in each operatory, patient texting and phones, HIPAA safeguards, and backups we test. On-site engineers cover the five boroughs from our Brooklyn office, and agreements run month to month.
Imaging recovery cut from 72 hours to 8
The client is a multi-site medical practice in New York's Lower Hudson Valley, not a dental office: seven locations and more than 200 staff. We cite it on a dental page because one of its problems is familiar in any imaging-heavy practice. Imaging archives had filled whatever disk was nearest.
Undersized servers on an end-of-life operating system ran the EHR, and each new office had added its own one-off network. The practice needed HIPAA compliance across every site and real-time access among all offices, and its recovery objectives existed on paper only.
What NetSys did
- New Windows Server 2022 hardware with Hyper-V, sized for the EHR and imaging (PACS) workloads
- Encrypted backups with offsite copies, and a documented recovery objective for imaging as for every other system
- Scheduled restore tests that validate each recovery target
- Role-based access control, with encryption in transit and at rest
The results, as published in the case study
- Imaging recovery time objective cut from 72 hours to 8, validated by scheduled restore tests
- 92% reduction in worst-case recovery time for clinical systems
- 0 findings on the infrastructure portion of the next compliance review
- 7 locations connected in real time over an encrypted VPN mesh

Five-borough dental offices, supported from Brooklyn
Plenty of dental IT is fixed remotely: a locked account, a stuck print queue, a practice-management update. The rest is physical, and in New York it comes with the building. A sensor that stops reading mid-appointment, a cable run through a pre-war wall, or a server closet with no airflow needs an engineer in the suite. Ours come from Brooklyn to offices across Manhattan, Brooklyn, Queens, the Bronx and Staten Island, and we plan around the building's access rules, loading hours and permitted work times.
Everything else about how we serve the area, including coverage, on-site cadence and the honest answer about where our office is, lives on our New York City location page.
Rules for New York City dental offices
HIPAA (45 CFR Parts 160 and 164)
A dental office that submits claims electronically is generally a covered entity. Vendors that create, receive, maintain or transmit patient data for it, such as an imaging cloud, a texting and reminder platform, an AI answering service or an IT provider, are business associates and need a business associate agreement (§164.308(b) and §164.502(e)).
NY SHIELD Act (GBL §899-aa and §899-bb)
Under §899-aa, private information covers identifiable, unencrypted data such as Social Security or driver's license numbers and medical or health insurance information, plus any username or email paired with its password. A vendor that maintains that data for the office must tell the office within 30 days of discovering a breach (§899-aa(3)), and affected New York residents are notified within 30 days of discovery.

Dental Practices in New York City: FAQs
Who provides IT support for dental practices in NYC?
NetSys does, from our office in Brooklyn, with on-site engineers across all five boroughs. We support the servers, operatory PCs, network, Microsoft 365 and security around Dentrix, Eaglesoft or whichever practice software you run, and we coordinate with the software and imaging vendors on your behalf. Agreements run month to month.
What compliance rules apply to dental practices in NYC?
HIPAA (45 CFR Parts 160 and 164) generally applies to dental offices that bill electronically, and New York's SHIELD Act (GBL §899-aa and §899-bb) adds state breach duties, including notice to affected residents within 30 days of discovery. Texting, imaging and answering vendors need business associate agreements. This is general information, not legal advice.
How fast is on-site response in NYC?
We do not publish a fixed arrival time; on-site terms go into the agreement. Visits across the five boroughs are routine because our engineers leave from Brooklyn, and many problems, such as a frozen imaging bridge or a locked account, are fixed remotely first. Phone and remote targets are in the response-time table on our managed IT services page.
What do managed IT services for dental practices in NYC include?
They include the help desk, 24/7 monitoring for managed clients, patching outside patient hours, care for the practice-management server and its backups, imaging PC updates coordinated with the vendor, and guest Wi-Fi kept off the clinical network. New hires get accounts set up, and leavers are offboarded the same day. Pricing is per user per month.
What does cybersecurity for dental practices in NYC involve?
It involves multifactor authentication on the practice software and email, managed endpoint detection on every operatory PC, encrypted email for records sent to specialists or insurers, and immutable backups of the practice database and imaging. Patient texting platforms get a business associate agreement and an access review before anyone relies on them.
