What changes for a design practice in New York City

A New York practice files with the city almost as often as it issues drawings. Job filings go through DOB NOW: Build, which needs an NYC.ID account, and registered architects and professional engineers also hold an eFiling registration that issues the PIN they use in DOB NOW. Facade engineers are in Cycle 10 of the Facade Inspection and Safety Program, which runs from February 21, 2025 to February 21, 2030, with Qualified Exterior Wall Inspector reports filed through DOB NOW: Safety. Local Law 97 adds annual emissions reports, due each May 1 and certified by a registered design professional through the city's BEAM portal. Each of those accounts belongs to a licensed person, so a phished password becomes a professional problem as well as an IT one. The project data is heavy too: drone and rope-access photo sets, laser scans and federated models move between the office, site trailers and consultants in other boroughs. We treat portal credentials, large-file transfer and site connectivity as part of the firm's IT rather than as each project manager's private headache.

On-site and remote support for NYC studios

Designers lose hours when a workstation stalls in the middle of a render, so the help desk treats a frozen modeling session as urgent rather than routine. Under the response commitments published on our managed IT and help desk pages, a critical issue gets a phone response within ten minutes and remote work within thirty. Most fixes happen remotely through NinjaOne: a graphics driver rolled back, a license server restarted, a stuck sync cleared. Engineers come in person for the work that needs hands, such as installing a GPU, replacing a switch in the closet, re-cabling a model room or moving desks during a fit-out. From Park Slope, the Financial District is about 25 minutes and Midtown 35 to 45, so a visit to a Manhattan studio is ordinary scheduled work. Large-format printers and plotters get one driver standard, so every seat prints a sheet the same way.

Model files, file servers and the link between offices

Many firms still keep a Windows file server in the office closet, and a fair number of those run Windows Server 2016, whose extended support ends January 12, 2027. That deadline is a good moment to decide where models should live. For a single studio, a modern on-site server with snapshots is often still the fastest home for multi-gigabyte central files. For two offices or a hybrid team, Azure Files with local caching, or Azure Virtual Desktop sessions placed beside the data, avoids pushing whole models across a home connection. Either way we set versioned backups through Datto SIRIS or Veeam, so a corrupted central model can be rolled back to the hour before, and we test that restore on a real project folder. BIM authoring, CAD and PDF markup tools stay with their vendors; we manage the machines, license servers and network they depend on.

Outages, floods and fraud aimed at project teams

Ida's remnants put water into basements all over the five boroughs in September 2021, and FEMA's major disaster declaration that followed named every borough. A firm with its server, plotter and network closet below grade should treat that as the design case: equipment raised off the floor, backups that leave the building every night, and a plan for working from the cloud copy. Power is the other exposure. On the evening of July 13, 2019, a flawed relay connection at Con Edison's 65th Street substation blacked out much of the West Side, roughly 73,000 customers, for several hours. The more common loss is financial: a fake invoice from a subconsultant, or a changed bank account slipped into an email thread about a payment application. We set mail filtering, alerts on new forwarding rules and a callback rule for any payment change.

The rules that apply

Rules that shape IT for NYC architecture and engineering firms

GSA sensitive building information (PBS 3490.3)

GSA's order PBS 3490.3 CHGE 1 treats qualifying information about federal buildings, grounds and property as Controlled Unclassified Information in the Physical Security category, handled under 32 CFR part 2002, and material once marked Sensitive But Unclassified is now handled as CUI. A firm working on federal property in the city keeps those files in a restricted library, limits access to named staff and records who received them.

Port Authority Protected Information

Consultants on Port Authority of New York and New Jersey projects sign a nondisclosure agreement before receiving Protected Information, and the agency's Information Security Handbook expects contractors to write their own Protected Information Practices and Procedures document, which may add detail but may not deviate from the handbook. We build the folder permissions, device encryption and transfer method that document describes.

NIST SP 800-171 and CMMC

Design work for Department of War facilities can carry DFARS 252.204-7012 and NIST SP 800-171 Revision 2. On July 13, 2026 the department suspended CMMC Phase 2, the third-party Level 2 certification that was due to start November 10, 2026, and put Phases 3 and 4 on hold while a reform task force reviews the program. Level 1 and Level 2 self-assessments, a current SPRS score and the affirmation still apply.

NY SHIELD Act duties for design firms

Personnel files, payroll records and client contact data put every firm under the SHIELD Act. Section 899-bb expects safeguards in three areas, administrative, technical and physical, sized to the business, with lighter expectations for a small business as the statute defines it. A breach must be disclosed to affected New Yorkers within 30 days of discovery, and the state Attorney General, Department of State and State Police must be notified as well. Common Questions

Architecture & Engineering Firms in New York City: FAQs

Who provides IT support for architecture firms in NYC?

NetSys does. Our engineers work from a single Park Slope office and visit studios in every borough. We run the help desk, workstations, Microsoft 365, the file platform, remote access, security and backups for architecture and engineering practices, and we coordinate with your design software vendors and resellers on licensing and application issues. Firms with an in-house BIM manager or IT lead can use us as co-managed support, with responsibilities agreed in writing.

Do you provide on-site IT support for architecture and engineering firms in New York City?

Yes. All five boroughs are inside our on-site coverage, and engineers travel from our Brooklyn office for workstation builds, plotter and printer setups, switch and Wi-Fi work, server replacements and office moves. Most problems are solved remotely first, which is faster for a stalled license or a sync error. For a fit-out or a move between floors, we book the freight elevator and any after-hours window with the building's managing agent ahead of time.

What does IT support cost for an architecture firm in New York City?

Managed IT is priced per user per month, set after we assess the firm. Workstation count matters more than in most industries, because a designer may have a desktop and a laptop, and render nodes or a plotter fleet add devices. The file platform is the other driver: keeping a local server, moving to Azure Files or adding virtual desktops changes both the monthly cost and the project fee. One-time work such as a server replacement is quoted after scoping. Our prices are not posted publicly.

How do you handle security-sensitive drawings and CUI?

We start by finding where those files live today, which is usually in project folders anyone at the firm can open. We then move them into a restricted library with access limited to named staff, turn on access logging, encrypt the laptops that sync them, and agree a transfer method with the client instead of email attachments. For federal or Port Authority work we match the controls to what the contract or handbook requires and keep a record you can show the client.

Can staff open large models from home or a job site?

Yes, but the method depends on model size and the connection. Pulling a multi-gigabyte central file over a home line is slow and invites sync conflicts, so for heavy work we usually set up Azure Virtual Desktop sessions or a remote connection to an office workstation sitting beside the data. Lighter tasks, such as markups and reviews, work well from a managed laptop on cached files. Every remote path requires multifactor authentication and a device we manage.

Do you support the CAD, BIM and rendering software we use?

We support everything around it: the workstations and graphics drivers, the license server, the file platform, the network and the backups. The software itself stays with the vendor or your reseller, and we open and follow up tickets with them when a problem is inside the application. We also record each seat's version and plugins in IT Glue, so a new hire's workstation matches the rest of the team on the first day.
