The short answer

Outsourced IT support means paying an outside company to run some or all of your IT: the help desk, monitoring, security, devices, cloud accounts and projects. Who outsources IT

Businesses usually reach us from one of four situations. The person who handled IT has left, or was never really IT staff. The company has grown past what one generalist can cover, especially on security. An insurer, client or regulator has started asking questions in writing that nobody inside can answer with evidence. Or a project, such as a move to the cloud, needs skills the business will use once.

Outsourcing solves the coverage problem, but it does not move the responsibility. The FTC's guidance on its Safeguards Rule, written for financial businesses, puts it plainly: if a service provider runs your security program, the responsibility still stays with you. So we write down what we run, what you keep and how you can check our work, and we record who holds each admin credential.

Decide the split, then hand over

We start with an inventory: users, devices, accounts, licenses, vendors and every admin credential we can find. Then we agree the split, function by function. Some clients hand us everything. Others keep an internal person for day-to-day requests and give us monitoring, security and projects, which is closer to co-managed IT. Access moves from your current provider or staff member with an overlap where it helps, and we confirm a backup restores before any old tool is switched off.

Should a small business outsource IT?

Usually, once IT work is taking time from people hired to do something else. A small business rarely has enough work to justify a full-time specialist for each area, and one generalist cannot cover support, networks and security alone. Outsourcing buys a team's range of skills. Keep ownership of accounts, data and spending decisions in-house.

What IT functions can be outsourced?

Almost all of them: the help desk, monitoring and patching, cybersecurity, Microsoft 365 or Google Workspace administration, device management, backups and projects. What should stay with you is ownership of the tenant, the domain and the billing accounts, plus approval of changes that affect the business. The split is written down before work starts.

Is outsourced IT cheaper than in-house IT?

For most small businesses it buys more coverage for the money than a single in-house hire, but compare totals. An employee brings salary, benefits, payroll taxes, tools, training and a gap whenever they are out. Outsourced IT support brings a per-user fee plus projects and licenses. Is an outsourced IT help desk the same as outsourcing IT?

No, the help desk is only one piece. An outsourced help desk answers staff requests, while outsourcing IT can also cover monitoring, security, cloud administration, devices, backups and projects. Can we outsource cybersecurity but keep our IT person?

Yes. Outsourced cybersecurity services can run alongside an internal IT person or another provider. We run the security tools and handle incidents under the authority written into the agreement, and your IT person keeps day-to-day support. Where both teams touch the same system, the agreement names who acts first, so nothing waits on a guess.

What should an IT outsourcing contract include?

It should name the covered users, devices and systems, the help-desk hours, how severe incidents are escalated, what is excluded, the term and how you leave. The FTC's small business guidance also advises writing security requirements into vendor contracts and limiting a vendor's access to what the job needs. NetSys agreements run month to month.

What should I look for in IT outsourcing companies?

Look at who does the work, what the base price leaves out and how hard it is to leave. Ask whether engineers or a script answer, whether security tools are included, how admin access is limited and logged, and whether anyone can come on site where you are. Ask for published case studies rather than logos.
