IT Project Management Services for Office Moves, Migrations & Rollouts

An IT project fails in the gaps between vendors: the carrier who needed ninety days, the cabling crew that finished before the electrician, the software vendor who said 'compatible' and meant 'someday'. NetSys provides IT project management services that close those gaps with one accountable lead, a written plan with dates, and a cutover rehearsed before it is real.

The short answer

IT project management services put a single accountable engineer in charge of a technology change from scope to sign-off. Typical projects are office moves and build-outs, server and cloud migrations, phone system replacements, hardware and Windows rollouts, and the integration of an acquired company. The project lead writes the scope and schedule, orders circuits early enough to matter, coordinates cabling, electrical, furniture and software vendors, tracks risks in the open, and runs the cutover with a rollback plan. NetSys delivers project management as part of the managed agreement for existing clients and as a scoped engagement for businesses with their own IT staff who need a lead for one large change.

IT Project Management by The NetSys Group

Most small businesses do not have a project manager, so the owner becomes one by default, between running the company. The result is predictable: the move date is set by the lease, the internet circuit is ordered a month late, and the first week in the new office runs on a hotspot. None of that is a technical problem. It is a sequencing problem, and sequencing is what a project lead is for.

We have run office moves in Manhattan and Nassau County, tenant migrations for firms in Westchester, and phone cutovers for offices in Fairfield County. The same lead stays on the project from the first walkthrough to the punch list. Because NetSys also runs the help desk and monitoring, the project lead knows what the business depends on and schedules around it.

Scope in Writing, Dates That Hold

Every project starts with a one-page scope: what changes, what does not, who signs off, and the date. From that we build a schedule backward from the cutover, with the long-lead items, usually circuits and hardware, ordered first. Vendors get a shared plan with their tasks and dependencies, and a weekly check-in that lasts fifteen minutes. Risks are listed with an owner and a fallback. The cutover is rehearsed, then run on a day the business chose, with the previous state kept recoverable until sign-off.

What IT Project Management Services Cover

Office Moves & Build-Outs

The new office works on the first morning.

  • Internet circuits ordered at lease signing, with a backup path for the first weeks
  • Cabling, server room, power and cooling specified and inspected before drywall closes
  • Network, Wi-Fi and phones built and tested before the movers arrive
  • Old office decommissioned with equipment tracked and data wiped

Migrations & Rollouts

Big changes delivered in waves people barely notice.

  • Server, email, file and phone migrations planned with coexistence and rollback
  • Hardware refreshes and Windows 11 rollouts scheduled by department
  • Line-of-business software upgrades coordinated with the vendor's own timeline
  • Pilot groups and acceptance tests before any company-wide change

Vendor Coordination

One plan, every vendor on it, one person chasing.

  • Carriers, cabling contractors, electricians, software vendors and landlords managed to one schedule
  • Quotes compared and contracts reviewed for the technical terms that cause trouble later
  • Escalations handled by NetSys, so the owner is not on hold with the carrier
  • Vendor deliverables verified before invoices are approved

Governance & Sign-Off

Everyone can see where the project stands.

  • Weekly status in plain language: done, next, blocked, decisions needed
  • Risk register with owners and fallbacks, reviewed at each check-in
  • Change control so scope grows only when someone agrees to the cost and the date
  • Documentation handed over at close, so the change is supportable afterward

  • Cutovers are rehearsed and reversible, so a bad day does not become a bad month

  • Included for managed clients, and available as a fixed-scope engagement, month to month
Common Questions

IT Project Management FAQs

What does an IT project manager do for a small business?

The project manager turns a change the business needs into a dated plan and then makes the plan happen: scoping the work, ordering long-lead items, coordinating every vendor, tracking risks, running the cutover and closing with documentation. For a small business it replaces the owner or office manager as the person chasing the carrier and the cabling crew. NetSys assigns an engineer rather than a coordinator, so technical decisions get made on the spot.

How far ahead should we plan an office move?

Start when the lease is signed, and no later than three months before the move. Internet circuits at a new address are the item most often ordered late, and a carrier install can take well over a month. Cabling has to be finished before furniture, and the network has to be tested before the movers unplug the old office. Our office move IT checklist post lists the questions to settle early.

Do we need IT project management services if NetSys already manages our IT?

Project management is part of the managed agreement, so existing clients do not engage it separately. What changes for a large project is the structure: a named lead, a written scope, a schedule and weekly status, instead of the work being handled as tickets. Small changes stay routine. Anything with vendors, a deadline and a cutover gets the project treatment.

Can NetSys manage a project for a business with in-house IT?

Yes. Internal IT teams are often too busy with daily support to run a migration or a move on top of it. We provide the project lead, the plan and the vendor coordination while the internal team keeps ownership of the systems. The engagement is scoped with a fixed deliverable and a date. Firms switching providers also use this model to have the transition run as a project with a plan.

How do you keep an IT project on schedule?

By building the schedule backward from the cutover date, ordering the long-lead items first, and holding a short weekly check-in where every vendor reports against the same plan. Slips show up early, when they can still be absorbed. Scope changes go through a written decision with the cost and the date impact attached, so the project does not grow quietly until the deadline is impossible.

What does IT project management cost?

For managed clients it is included in the month-to-month agreement. For standalone engagements we quote a fixed scope after a discovery meeting, based on the size of the change and the number of vendors involved, and the quote is in writing before work begins. Hardware, circuits and third-party services are billed at their quoted prices. Call 845-203-3914 or use the contact page to describe the project.
