IT Support for Accounting Firms in Dallas, TX

A Dallas CPA firm's year has two peaks: the federal filing deadlines and the May 15 Texas franchise tax reports a month later. NetSys keeps the systems behind both running, from tax software access and client portals to seasonal accounts and encrypted file exchange, and manages all of it remotely from our Brooklyn office with no long-term contract.

The short answer

NetSys provides IT support and managed IT for Dallas accounting and CPA firms: an engineer-staffed help desk, Microsoft 365 and device management, secure client file exchange, multifactor authentication on every account, ThreatDown endpoint protection, tested backups and the written information security program the FTC Safeguards Rule requires. Support is remote; NetSys does not send technicians to Dallas offices, and new laptops arrive pre-configured for each preparer. The help desk is staffed 3 a.m. to 10 p.m. Central seven days a week, including the weekends before deadlines, and pricing is per user per month after an assessment.

What tax season looks like for a Dallas practice

Texas has no personal income tax, so a Dallas firm's individual returns are almost entirely federal, while its business clients add the Texas franchise tax: annual reports and Public Information Reports due May 15, with extensions running into November. That stretches the busy season by a month and puts entity ownership details and bank information in more hands. The region's accounting workforce is large, about 40,000 accountants and auditors across DFW by the Dallas Regional Chamber's count, and many of them work hybrid from Plano, Frisco or Mansfield rather than full time in an office near the Arts District or the Galleria. Firms that serve the region's corporate headquarters also hold audit evidence and payroll files for organizations far larger than themselves. Our setup reflects all of that: a named account with an end date for every seasonal preparer, client folders limited by engagement team, tax software reachable only from managed devices, and a secure portal or encrypted mail for every return that leaves the firm, so nobody emails a PDF carrying a client's Social Security number to the wrong address.

How remote support carries a Dallas firm through deadlines

Everything we do for a Dallas practice happens remotely, and we would rather say that on page one: no NetSys engineer will come to your office. In practice it matters less than firms expect. Tax software errors, a stuck print queue, a locked-out partner or a scanner that stopped filing to the right folder are all fixed over a remote session. New preparers get a laptop drop-shipped to the office or to their home, enrolled through Windows Autopilot with the tax applications, printers and mapped folders ready at first sign-in. Engineers staff the help desk from 3 a.m. to 10 p.m. Central every day, which covers the long Saturdays of March and April, and monitoring and emergency service run all night. A ransomware alert or an email outage on April 14 goes straight to your dedicated engineer instead of a queue.

Client files, portals and the wire-fraud problem

Accounting firms hold the data criminals want most: Social Security numbers, bank accounts, prior-year returns and payroll records. The most common loss, though, starts with a convincing email rather than a hack of the tax software. Dallas County reported losing $2.4 million to a fraudulent invoice in November 2023, a few weeks after a ransomware attack, and firms that move client money or approve vendor payments face the same tactics. We put Barracuda filtering and DMARC on your domain, block automatic forwarding to outside addresses, require multifactor authentication with number matching, and write a callback rule for every change to bank details. Client files travel through a portal or SharePoint links that expire, never as attachments. Keeper holds the credentials for IRS e-Services, state portals and bank sites, and each preparer's access is reviewed and removed when they leave.

Backups, outages and getting back to work

A practice that loses its client files in March loses the season. Backups therefore copy Microsoft 365 mail and SharePoint independently of Microsoft's own retention, and any on-premises server or tax database goes to Datto or Veeam with an immutable copy stored outside Texas. Restores are tested before January, not discovered in April. North Texas weather is part of the plan: Winter Storm Uri in February 2021 left parts of Dallas County without power for more than a day, and the May 2024 windstorm cut service to hundreds of thousands of Oncor customers. When tax applications are hosted or cloud-based and staff work from managed laptops, a dark office is an inconvenience instead of a missed deadline. Firms still running a server in a closet get a UPS sized for a clean shutdown and a written note of which partner decides when everyone moves to home offices.

The rules that apply

Rules that shape IT for Dallas accounting firms

FTC Safeguards Rule (16 CFR Part 314)

Tax preparation is a financial activity under the Gramm-Leach-Bliley Act, so CPA firms and preparers need a written information security program run by a designated Qualified Individual, a written risk assessment, access controls, encryption of customer information at rest and in transit, and multifactor authentication. Firms holding information on fewer than 5,000 consumers are excused from some provisions, not from the rule. Since May 2024, unauthorized acquisition of unencrypted data about 500 or more consumers must be reported to the FTC no later than 30 days after discovery.

IRS Publications 4557 and 5708

The IRS states that tax professionals are legally required to have a written information security plan and to review, test and update it regularly. Publication 5708, revised in August 2024, is a 28-page template aimed at smaller practices, and Publication 4557 explains the safeguards behind it, from multifactor authentication to reporting client data theft to the IRS. We keep your plan matched to the controls actually running, so it describes your office instead of a template.

Texas breach notice (Business and Commerce Code 521.053)

If client sensitive personal information is compromised, the firm owes notice to the people affected no later than the 60th day after it determines the breach happened, and a report to the Texas Attorney General within 30 days once at least 250 Texas residents are involved. The FTC and IRS steps above run alongside these notices, so our incident plan for a Dallas firm lists all three with their owners.

Senate Bill 2610 safe harbor

For claims accruing on or after September 1, 2025, a Texas business with fewer than 250 employees can defend against exemplary damages after a breach by showing it maintained a cybersecurity program that meets the law's criteria. The bar scales with size: under 20 employees, simplified requirements such as password policies and staff training; 20 to 99, CIS Controls Implementation Group 1; 100 to 249, a recognized framework in full. Common Questions

Accounting Firms in Dallas: FAQs

Who provides IT support for accounting firms in Dallas?

NetSys does, remotely from our office in Brooklyn. We run IT for accounting and CPA practices the way they work: preparer laptops, access to tax and practice-management software, document storage, client portals, email security, backups and the WISP that ties it together. Our engineers hold degrees in electrical engineering, electronics engineering or computer science and certifications from Cisco and Microsoft. Agreements run month to month, and each firm has a dedicated account manager with a real cell number.

How does IT support work for accounting firms in Dallas?

Your staff call, email or message the help desk, which engineers staff from 3 a.m. to 10 p.m. Central every day of the week, including the weekends before April 15 and May 15. We manage computers through NinjaOne and Intune, accounts through Microsoft Entra ID and passwords through Keeper, so nearly every fix is remote. We do not send technicians to Dallas; replacement laptops ship ready to use, and your office manager plugs in anything physical with an engineer on the line.

What does IT support cost for a CPA firm in Dallas?

Pricing is per user per month, set after an assessment of your firm, and we do not publish rates. For a Dallas practice the figure depends on partner and staff headcount, how many seasonal preparers join each year, whether tax software runs on a server you own or in the vendor's cloud, the security tools included, and how much WISP and audit-evidence work you want from us. Projects such as moving a file server to SharePoint are quoted separately. There is no long-term contract.

How do you help Dallas accounting firms meet the FTC Safeguards Rule?

We start with the written risk assessment the rule requires, then put its controls in place and document them: multifactor authentication for every account that reaches client data, encryption on laptops and in email, access limited to the clients each person works on, logging, tested backups and annual KnowBe4 training for staff. Your WISP names the Qualified Individual and describes those controls as they really run. When something changes, such as a new portal or a departing partner, the plan is updated with it.

Do you support our tax and practice-management software?

Yes, at the layer underneath it. We keep the server or cloud access the software needs working, apply updates on a schedule that avoids deadline weeks, protect the databases with their own backups, and open tickets with the software vendor when the application itself fails, staying on the call until it is fixed. We do not resell or license the tax software. Document management, e-signature and portal tools get the same treatment: we secure the accounts and devices and deal with each vendor directly.

Can seasonal preparers work from home securely?

They can, as long as the device belongs to the firm. Each seasonal preparer gets a managed laptop or an Azure Virtual Desktop session, a named account with multifactor authentication, access to only the client folders assigned to them, and an account end date set on day one. Personal computers never connect to tax software or client files. When the season closes, accounts are disabled, laptops are wiped remotely and shipped back, and the access review goes into your WISP records.
