IT Support for Law Firms in Dallas, TX

Dallas lawyers practice in the George L. Allen Sr. Courts Building, the Texas Business Court's Dallas division and the Northern District of Texas, and they file, draft and bill from wherever the laptop is. How Dallas legal work shapes a firm's IT

Dallas courts are concentrated downtown: the civil district courts sit in the George L. Allen Sr. Courts Building at 600 Commerce Street, county criminal courts in the Frank Crowley Courts Building on Riverfront Boulevard, and the Texas Business Court's First Division has heard cases in Dallas since it opened on September 1, 2024. State filings go through eFileTexas and federal ones through the Northern District of Texas. Firms range from large offices in Arts District and Uptown towers to boutiques in Preston Center, Las Colinas and Plano, and the region's 24 Fortune 500 headquarters keep corporate, employment and commercial litigation practices busy, with clients sending outside counsel guidelines that carry security requirements. The county also offers a local lesson in records. In spring 2021 a City of Dallas IT employee deleted roughly 22 terabytes of police files while moving them out of a cloud archive, and nearly 17,500 criminal cases were flagged as possibly missing files. For a law firm, retention, version history and recoverable deletes are evidence questions, not IT trivia.

Remote support for attorneys in court, at home and in the office

Lawyers need help in moments that do not wait: a locked account before a hearing, a document system that will not check in a brief at 9:40 p.m. on a filing deadline, or a laptop that dies in a deposition room. NetSys handles those remotely; we do not send technicians to Dallas offices. Every attorney's laptop is enrolled in Intune through Autopilot, encrypted and reachable through NinjaOne, so an engineer can fix it wherever it happens to be. A replacement ships configured and signs in with the attorney's existing account and files. Engineers staff the help desk from 3 a.m. to 10 p.m. Central every day, and a ransomware alert, a compromised mailbox or a firm with no internet goes straight to your dedicated engineer, whatever the hour.

Confidentiality, documents and wire-fraud defenses

Texas Rule 1.05 protects both privileged and unprivileged client information, so the technical controls have to reach far beyond privileged memos. We restrict matter folders and workspaces to the people on each matter, apply ethical walls when a conflict requires them, encrypt every laptop and phone holding client data, and keep audit logs in the document management system and Microsoft 365. Email is the largest exposure: settlement funds, retainers and real estate closings attract payment-instruction fraud, and Dallas County's own loss of $2.4 million to a fake invoice in 2023 shows how ordinary the lure can look. Barracuda filtering, DMARC on the firm's domain, impersonation protection for partners and a written callback rule for any wiring change reduce that risk. Clients and co-counsel receive expiring links, never forwarded attachments.

Retention, backups and outages in North Texas

A firm's backups have to answer two questions: can we restore yesterday's work, and can we produce a document from six years ago exactly as it was. Microsoft 365 and the document management system get independent cloud-to-cloud backups with retention set to the firm's file policy, and anything still on a local server goes to Datto or Veeam with an immutable copy outside Texas. Recycle-bin and version settings are tuned so a mistaken mass deletion, like the one that cost Dallas police their files in 2021, can be reversed. For outages, the plan follows local history: Winter Storm Uri in February 2021 and the May 2024 windstorm each left parts of the city without power for more than a day. With documents in the cloud and managed laptops, attorneys keep working from home while the office is dark.

The rules that apply

Ethics rules and laws for Dallas law firms

Texas Rule 1.05 (confidentiality)

The Texas Disciplinary Rules of Professional Conduct define confidential information to include both privileged information and all other unprivileged client information, and the State Bar's Professional Ethics Committee has explained that this reaches further than the evidentiary privilege. IT controls therefore need to protect billing records, intake forms, scanned exhibits and ordinary email, not only work product. A misdirected email carrying a client's medical bills is a confidentiality problem even when nothing in it is privileged.

Technology competence (Comment 8 to Rule 1.01)

On February 26, 2019, the Supreme Court of Texas amended Comment 8 to Rule 1.01 so that a lawyer's duty of competence includes the benefits and risks of relevant technology, matching the change the ABA made to its Model Rules in 2012. Clients' outside counsel guidelines also borrow the reasonable-efforts language of ABA Model Rule 1.6(c), so firms should be ready to show the controls they use.

Cloud and AI opinions (Opinions 680 and 705)

Opinion 680 (2018) allows Texas lawyers to keep client information in cloud systems if they take reasonable precautions, such as understanding how the service works, reviewing its terms and deciding whether added encryption is needed. Opinion 705 (February 2025) applies the duties of competence and confidentiality to generative AI tools. We vet each tool's data handling before the firm connects it to client files.

Texas breach notice (Business and Commerce Code 521.053)

A firm whose systems expose sensitive personal information, such as Social Security or driver's license numbers in a client file, must tell the affected individuals within 60 days of determining the breach and the Attorney General within 30 days when 250 or more Texans are affected. Read the notice terms in your cyber insurance policy as well and put them in the same plan. This is general information, not legal advice.

Common Questions

Law Firms in Dallas: FAQs

Who provides IT support for law firms in Dallas?

NetSys supports Dallas law firms remotely from its Brooklyn office. We manage the help desk, attorney laptops and phones, Microsoft 365, the infrastructure under your document management system, email security, backups, the office network and the vendors behind them, and we document controls for client security questionnaires. NetSys has been in business since 1998 and works on month-to-month agreements, and each firm has a dedicated account manager with a real cell number.

How does IT support work for law firms in Dallas?

Attorneys and staff reach the help desk from 3 a.m. to 10 p.m. Central every day, by phone, email or Teams, and monitoring and emergency service run 24/7. Every device is managed through NinjaOne and Intune, so fixes happen remotely whether the laptop is downtown, at home or at the courthouse. We do not send technicians to Dallas firms: replacement laptops ship ready for sign-in, and office equipment is connected by your staff or cabling contractor while an engineer guides them.

What does IT support cost for a law firm in Dallas?

IT support for a Dallas law firm is priced per user per month after an assessment, and we do not publish rates. The price reflects attorney and staff headcount, devices per person, whether the document management system is hosted or on your own server, retention and backup requirements, and the security tools included. Projects such as a Microsoft 365 migration or an office move are quoted separately after scoping, and you can leave on a month's notice.

How do you help Dallas firms meet their confidentiality duties?

We turn the reasonable-efforts expectation into specific controls: multifactor authentication and Conditional Access on every account, encrypted devices, matter-level permissions and ethical walls, audit logging, email filtering and DMARC, managed detection and response, staff phishing training and tested backups. Each control is documented, so a partner can answer a client audit or an insurer's questionnaire with evidence. We review the setup with the firm's general counsel or managing partner every year.

Do you support our document management and practice management systems?

Yes, from the infrastructure side. We keep the server or cloud connection, Outlook and Office integrations, scanners and profile settings working, schedule updates around trial calendars, back up the data independently and work the vendor's support line when the application itself fails. Licensing stays with the firm. If you are moving from an on-premises system to a cloud one, we plan the migration with the vendor and test matter security before cutover.

Can attorneys use AI tools on client matters?

They can once the tool has been vetted. Following Texas Ethics Opinion 705, we review where a tool stores prompts and documents, whether the vendor trains on your data, how access is controlled and what logs exist, then configure approved tools with single sign-on and block unapproved ones. Microsoft 365 Copilot is enabled only after matter permissions are cleaned up, so it cannot surface documents a lawyer should not see.
