The short answer

NetSys provides IT and security for registered investment advisers, futures and commodity firms, private equity sponsors and family offices in Chicago. We work only remotely and in the cloud: identity in Entra ID governed by Conditional Access, Microsoft 365 administration, ThreatDown detection with analysts behind it, Barracuda on inbound mail, Keeper for credentials, Datto or Veeam backups, and the paper trail that Reg S-P, NFA reviews and investor due diligence ask to see. We do not send engineers to Chicago; devices ship configured through Intune and Windows Autopilot. After an assessment we quote a per-user monthly fee, and agreements renew month to month.

Chicago finance: derivatives, advisers and deal teams

Chicago's financial district is built around derivatives. CME Group's headquarters sits at 20 South Wacker Drive, with its trading floor at 333 South LaSalle Street; Cboe Global Markets is headquartered in the city; and the National Futures Association, the industry's self-regulatory organization, has its offices at 320 South Canal Street. Around them work introducing brokers, commodity trading advisors and pool operators, alongside wealth managers in the Loop, Oak Brook and the North Shore, private equity firms and family offices. CME's Globex platform runs from a data center in Aurora that CME leases from CyrusOne, and the latency-sensitive trading systems colocated there are specialist work we leave to the firms and vendors who build them. The office is where we come in: email, identity, laptops, file storage, investor reporting tools, vendor access and the backups behind them. That is also where most breaches at smaller firms begin, through a phished login or a forged wire request rather than an attack on trading systems.

Remote support for a regulated Chicago office

Day-to-day support runs from Brooklyn. NinjaOne patches every workstation and server, ThreatDown watches endpoints with analysts behind it, and IT Glue documents systems, vendors and procedures, so an examiner's question about who holds admin rights gets a quick answer. Monitoring and emergency service run 24/7; the help desk is staffed seven days a week from 4 a.m. to 11 p.m. Eastern time, which starts at 3 a.m. in Chicago, well before U.S. equity markets open at 8:30 a.m. Central. NetSys does not send engineers on site. New laptops ship through Intune and Windows Autopilot with encryption and Conditional Access policies already applied, and your office manager or cabling contractor connects the firewall and switches we configure. Severe problems, such as ransomware, email down or a lost internet connection, go straight to your dedicated engineer.

Email, wires and investor reporting

Business email compromise is the expensive incident in finance: an attacker inside one mailbox learns how a capital call or wire request normally reads, then sends one from a lookalike domain. Our controls stack against that. Barracuda filters impersonation and lookalike domains; Conditional Access refuses logins from personal machines and from countries where no one on staff works; administrators and payment approvers use phishing-resistant sign-in methods; and alerts fire when inbox rules or forwarding change. We help you write the call-back procedure for wire changes and test staff with KnowBe4 simulations built around investor and vendor payment requests. Credentials for custodians, fund administrators and banking portals live in Keeper with per-person access. Message retention and archiving are configured to your compliance team's books-and-records requirements, and we keep the settings documented.

Due diligence questionnaires and vendor oversight

Allocators, limited partners and institutional clients arrive with lengthy security questionnaires, and every answer should hold up if an auditor later checks it. We keep the evidence current: multifactor coverage reports, patch compliance, endpoint protection status, backup restore logs, training completion, the asset inventory and the incident response plan. The free external penetration test, a remote test within an agreed scope, gives you an outside view to attach. Vendor oversight matters as much as your own controls, because the amended Regulation S-P expects covered firms to oversee service providers that handle customer information. We list every system vendor, what data it holds and how access is granted, and we review that list with your chief compliance officer. A vCISO engagement adds a named security lead for board and investor meetings.

The rules that apply

Rules Chicago financial firms build their IT around

SEC Regulation S-P (amended 2024)

Under the 2024 amendments, a broker-dealer, SEC-registered adviser or other covered institution needs written incident response procedures covering detection, response and recovery when customer information is accessed without authorization. People whose sensitive information was, or likely was, exposed must be told as soon as practicable and within 30 days of the firm becoming aware. The amendments also make firms oversee the service providers that handle that information. Both compliance dates have passed (December 3, 2025 for larger entities, June 3, 2026 for smaller ones).

NFA Interpretive Notice 9070

NFA members, including futures commission merchants, introducing brokers, commodity pool operators and commodity trading advisors, must adopt and enforce a written information systems security program. The notice calls for a risk assessment that covers critical third parties, documented safeguards, an incident response plan, training at hiring and at least annually, approval of the program by the CEO or another senior officer, a review at least every twelve months and notice to NFA of certain cybersecurity incidents. We maintain the technical sections and the annual review evidence.

FTC Safeguards Rule and Illinois PIPA

Mortgage brokers, consumer lenders and similar firms that answer to neither the SEC nor a bank regulator are covered by the FTC Safeguards Rule instead: a written program, a second sign-in factor, encryption, and a report to the FTC within 30 days when unencrypted data on 500 or more consumers is exposed. Illinois' Personal Information Protection Act treats compliance with Gramm-Leach-Bliley safeguards as meeting its reasonable-security requirement; ask counsel how its breach notice provisions, including notice to the Attorney General above 500 residents, apply to your firm.

NYDFS Part 500, only with a New York license

Part 500 reaches organizations that hold a New York banking, insurance or financial services license, charter, registration or comparable authorization from the Department of Financial Services. A Chicago firm with no New York license is generally outside it, but an affiliate licensed there, such as an insurance agency or a lender, can bring part of the group into scope. If that applies, we map Part 500's controls to your environment. This is general information, not legal advice.

Common Questions

Financial Services Firms in Chicago: FAQs

What does IT support cost for a financial services firm in Chicago?

Every firm gets its own quote, a monthly amount per user worked out after we review the environment. For financial firms the drivers are the regulatory evidence you need (Reg S-P, NFA, investor questionnaires), message archiving scope, the number of trading and analyst workstations with multi-monitor setups, after-hours support beyond monitoring, and whether an internal IT or operations person keeps part of the work. Office moves, data room builds and migrations carry separate quotes. Clients can leave any month, and 98% choose to stay.

How does IT support work for Chicago financial services firms?

It is remote and cloud-based. Our Brooklyn engineers manage your devices, Microsoft 365, security tools and backups and answer the help desk. Monitoring and emergency service run 24/7; the help desk is staffed seven days a week from 4 a.m. to 11 p.m. Eastern time. We do not send engineers to Chicago offices. Laptops are encrypted and enrolled before they ship, and firewalls and switches come already set up for your team or contractor to plug in. You also get an account manager who answers a real cell phone, and anything severe skips the queue and goes to the engineer assigned to your firm.

What does the amended Regulation S-P require from our IT?

Three things land on IT. First, written incident procedures backed by tools that actually spot an intrusion, stop it and restore service, with logs detailed enough to show which records were reached. Second, the ability to identify affected individuals quickly, because notice is due as soon as practicable and no later than 30 days after you become aware. Third, oversight of service providers that hold customer data. We supply the detection and logging, run tabletop exercises with your compliance team and maintain the vendor inventory.

We are an NFA member. What does Interpretive Notice 9070 mean for our IT?

It means a written information systems security program that your CEO or a senior officer approves, backed by a current risk assessment, documented safeguards, an incident response plan and annual training. NFA also expects a review at least every twelve months and notice of certain cybersecurity incidents. We write and maintain the technical parts, run the annual review with you, deliver KnowBe4 training at hiring and every year after, and keep records showing each control operates as described.

Can you support trading workstations and market data terminals?

We support the office side of trading: multi-monitor workstations, the network paths and firewall rules market data services need, Microsoft 365 and the security tools on every machine. Market data and order management vendors support their own software, and we work with them on connectivity problems. Colocated or latency-sensitive trading infrastructure, such as servers near the exchange matching engines in Aurora, is specialist work outside our scope, and the proposal says so plainly.

How quickly do you respond if an account is compromised?

Our written commitment for a critical issue is a call back inside ten minutes and an engineer connected remotely inside thirty. For a compromised account, the first steps are to revoke sessions, reset credentials, remove malicious forwarding rules and review sign-in logs, then check for mail sent to clients or custodians. ThreatDown and Microsoft logs show what the attacker touched, which your compliance team needs for any Regulation S-P or state notice decision.
