IT Support for Architecture Firms in Chicago, IL
Chicago architecture, structural and MEP firms work on heavy models, permit sets and sealed drawings that clients, consultants and the city all need on deadline. NetSys keeps that work moving remotely from Brooklyn: workstations tuned for design software, project storage that works from home or a jobsite trailer, controlled sharing and backups we prove by restoring real project folders.
The short answer
NetSys provides IT support for architecture and engineering firms in Chicago, from ten-person studios in River North to structural practices in the Loop. Support is remote and cloud-based: we manage design workstations, project storage on Azure Files or Azure Virtual Desktop, Microsoft 365, ThreatDown detection and response, firewalls and backups, and we coordinate with your software vendors. NetSys does not send engineers to Chicago. Each workstation reaches you already enrolled in Intune and Autopilot, and the switches and firewall we program ahead of time are plugged in by your own people or a cabling contractor. Fees are quoted per seat each month once we have reviewed the studio, with no annual lock-in.

What a Chicago design practice asks of its technology
Few cities take buildings as seriously. Skidmore, Owings & Merrill was founded in Chicago in 1936, the Chicago Architecture Center is devoted to explaining what the city's firms have built, and today's practices range from global offices to studios of eight people above a storefront in Wicker Park. Two local details shape the IT. First, Illinois licenses structural engineers separately: according to the Department of Financial and Professional Regulation, a professional engineer cannot offer structural services in the state, so structural firms here carry their own license and seal, and the sheets that bear it need careful version control. Second, permit drawings for Chicago go through the Department of Buildings' E-Plan system, mandatory since 2012: sets are uploaded as electronic files, and approved, stamped plans are downloaded rather than printed. A firm's file naming, PDF workflow and upload bandwidth become part of how fast a permit moves. Add existing-conditions scans of older buildings being converted to new uses, and the network and storage have to be planned around very large files.
Remote support for studios about 700 miles from Brooklyn
Our engineers work from Brooklyn and reach your machines over secure remote sessions. NinjaOne handles patching on a schedule that respects deadlines: graphics drivers and design software updates are held until after a submission, then rolled out once one workstation proves them. ThreatDown watches every endpoint, and IT Glue documents license servers, plotter settings and vendor contacts. Monitoring and emergency service run 24/7; the help desk is staffed seven days a week from 4 a.m. to 11 p.m. Eastern time, 3 a.m. to 10 p.m. Central, which covers the late nights before a design review. We do not send engineers on site in Chicago. New workstations ship imaged and enrolled through Intune and Autopilot, and the network hardware is set up here before it ships, leaving your office manager or cabling contractor to rack it and run the patch cords.
Big models, shared storage and consultants outside the firm
Design files are large, linked and opened by several people at once, which is why a cheap file share falls over. We size the answer to the firm. Some studios keep a local file server with cloud sync and immutable backup; others move project storage to Azure Files with a caching server in the office; firms with many remote staff often run design applications on Azure Virtual Desktop with GPU hosts, so the model never leaves Azure. Consultants and clients get SharePoint sharing with expiring links and named guests instead of open file-transfer accounts. Upload speed matters as much as download when sets go to E-Plan or a cloud model host, so we look for symmetrical fiber at your address. Zayo (which absorbed Crown Castle's fiber business in 2026), Comcast Business and AT&T Business Fiber are options to check there.
Deadlines, storms and restoring a project
The cost of an outage at a design firm is measured in missed submissions. On August 10, 2020 a derecho crossed the Chicago area and ComEd reported that more than 800,000 customers lost power at the peak, some for days. Our plans assume that can happen in a deadline week: UPS units sized for a clean shutdown, cellular failover for the firewall, and project data replicated outside Illinois. Datto SIRIS or Veeam keeps immutable backups, and each quarter we restore a real project folder, linked references included, to prove it opens. Ransomware gets the same treatment, and our record matters here: more than 30 ransomware cases in three years, all recovered in full, with clients who had a recovery plan back in business inside a day. Older file servers deserve attention now, because Windows Server 2016 extended support ends January 12, 2027.

Rules and contract terms Chicago design firms work under
Illinois structural engineering licensure
Illinois regulates structural engineering under its own act, separate from professional engineering. The Department of Financial and Professional Regulation states that only an Illinois-licensed structural engineer may perform structural services in the state, and its guidance lists foundations, retaining walls and structures of any kind within that scope. For IT the practical point is control: the seal images and digital certificates a licensee uses should sit in a restricted location, with access limited to that licensee and logged, so nobody else can produce a sealed sheet.
Sensitive Security Information on airport work (49 CFR Part 1520)
Design and construction work at O'Hare, including the multi-year O'Hare 21 terminal program, and at Midway can involve Sensitive Security Information. TSA's rule limits SSI to covered persons with a need to know and sets marking and handling duties, and airport operators commonly require design and construction contractors to sign SSI handling agreements, as Denver International Airport does. We set up a separate library for SSI drawings with named access, multifactor sign-in, no personal devices and logged downloads.
Federal CUI: DFARS 7012, NIST SP 800-171 and CMMC
A studio designing defense facilities, or subcontracting to a prime on other federal work, can receive Controlled Unclassified Information in drawings and specifications. The safeguarding clause, DFARS 252.204-7012, still applies, as do the 110 requirements of NIST SP 800-171 Revision 2, the self-assessment and an up-to-date SPRS score with its affirmation. What changed in 2026: the Department of War paused CMMC Phase 2 on July 13, so outside Level 2 certification is not yet a condition of award, and a task force is reworking the program.
Illinois PIPA and client contracts
The Personal Information Protection Act requires reasonable security for Illinois residents' personal information, which for a design firm usually means employee and payroll records more than project data. Client contracts can be stricter: owners, universities and hospital systems may require multifactor sign-in, encryption, breach notice within a set number of days and cyber insurance. We map those clauses to the controls in place and close the gaps. This is general information, not legal advice.

Architecture and Engineering Firms in Chicago: FAQs
What does IT support cost for an architecture firm in Chicago?
We price per user per month after an assessment. The drivers that matter for design firms are the number of high-end workstations and render machines, whether project storage stays local or moves to Azure, how many consultants and clients you exchange files with, whether any work involves CUI or airport security information, and whether a staff member handles some IT today. New workstations, a storage migration or a firewall replacement are quoted as projects after scoping. You can leave at the end of any month.
How does IT support work for Chicago architecture and engineering firms?
Our Brooklyn engineers do the work over the internet. They connect to workstations through secure sessions, manage patching and security tools centrally and handle vendor calls for you. Monitoring and emergency service run 24/7; the help desk is staffed seven days a week from 4 a.m. to 11 p.m. Eastern time. There are no on-site engineers in Chicago. Computers and network gear leave our office set up; someone at the studio, or your contractor, handles the cables and power while we finish from the other side.
Should our project files stay on a server or move to the cloud?
It depends on how the firm works. If most people sit in one Loop office, a well-maintained local server with cloud backup is often the fastest option for very large models. If staff split time between home, the office and job sites, Azure Files with an office cache or Azure Virtual Desktop usually wins, because the files stay close to the compute. We measure file sizes, user locations and your connection before recommending either, and we quote the migration separately.
How do you handle CUI on federal or defense projects?
We keep CUI inside a defined boundary rather than spread across the whole firm. Typically that is a separate SharePoint site or Azure environment with named users, multifactor sign-in, encryption, logging and device restrictions, documented in a system security plan mapped to NIST SP 800-171. We help produce the self-assessment and SPRS score. Third-party CMMC Level 2 certification is on hold after the July 2026 suspension of Phase 2, but the DFARS 7012 obligations are not.
Can you support our design applications and plotters?
Yes. We install and patch design applications, manage license servers and keep plotters and large-format scanners on the network, while the software makers handle defects in their own products. Before a major version upgrade we test it on one workstation with a real project, check add-ins and templates, and schedule the rollout around submissions. If a plotter fails mechanically, we coordinate with the service company that maintains it.
What internet connection does a Loop or River North studio need?
Plan for upload speed as much as download, because you send large sets to the city, clients and cloud storage. Aim for symmetrical fiber, and price at least two providers at your address; Comcast Business, Zayo and AT&T Business Fiber are the usual ones to check. A second path, even a cellular backup on the firewall, keeps email and Teams running when the main circuit fails. Building risers and landlord access decide installation dates, so we start that conversation with your landlord early.
