Healthcare IT Support in Chicago, IL
Chicago's clinic networks, specialty groups and behavioral health organizations run several locations on one EHR, one HIPAA program and one set of identities. NetSys runs that shared layer remotely from Brooklyn: site networks, security monitoring, risk analysis, access reviews and backups that keep every location open when a partner or vendor goes down.
The short answer
NetSys provides healthcare IT support to multi-site practice groups, clinic networks and behavioral health organizations in Chicago and its suburbs. The whole service runs over the network and in the cloud: firewalls and VPN tunnels at each clinic, Entra ID sign-in and Microsoft 365, endpoint detection by ThreatDown, backups, and one HIPAA security program for all locations, from the risk analysis through the audit binder. NetSys does not send engineers on site in Illinois; network gear and computers ship configured for your staff or contractors to install. We quote per user per month once every location has been reviewed, and the contract renews monthly.

Healthcare in Chicago is a network business
Chicago's care is concentrated in a few large systems and spread across hundreds of smaller sites. The Illinois Medical District, about two miles west of the Loop, covers 560 acres and includes Rush University Medical Center, Cook County's Stroger Hospital, UI Health and the Jesse Brown VA Medical Center; Northwestern Memorial anchors Streeterville and UChicago Medicine anchors Hyde Park. Around them, practice groups, community clinics and behavioral health networks run five, ten or twenty locations that refer patients into those systems and share data with them. The risk in that arrangement became clear in early 2024. Lurie Children's Hospital took phones, email and other systems offline on January 31, 2024 after criminals spent days inside its network, some services took weeks to restore, and the hospital later notified more than 791,000 people. Three weeks later the Change Healthcare attack froze claims and eligibility checks for practices nationwide. A clinic network has to plan for its own incidents and for a partner's.
Running IT for a multi-site group from Brooklyn
A clinic network needs the same build at every location, managed from one place. We design a standard site: a Cisco Meraki or Fortinet firewall, managed switches, separate network segments for clinical PCs, medical devices, phones and guest Wi-Fi, and a VPN or SD-WAN link back to shared systems. Each site's equipment ships configured, and your facilities staff or cabling contractor installs it while we bring it online remotely; NetSys does not put engineers on site. NinjaOne patches every workstation, ThreatDown monitors endpoints, and IT Glue documents each location so the help desk knows which printer and which circuit a caller means. Monitoring and emergency service run 24/7; the help desk is staffed seven days a week from 4 a.m. to 11 p.m. Eastern time, covering early clinics and evening hours from 3 a.m. to 10 p.m. Central.
One HIPAA security program across every location
HIPAA does not let a group treat each office as a separate project. The Security Rule's risk analysis has to cover every place electronic protected health information lives: each clinic's PCs and devices, the EHR and billing system, Microsoft 365, backups, phones and the vendors connected to them. We run that analysis across the whole organization, keep one asset inventory, and track remediation in a single plan. Access is role-based and reviewed quarterly, with departures removed the same day through Entra ID. Business associate agreements are listed with each vendor's access. Audit logs from Microsoft 365, the firewalls and ThreatDown are retained, and KnowBe4 training runs at every location. The result is a binder your compliance officer can hand to an auditor, a payer or the Office for Civil Rights without a scramble.
Downtime planning for clinics that cannot close
Most groups now run a vendor-hosted EHR, so the clinic's real dependencies are its internet circuit, its identity system and the vendor itself. We give each site a second path, usually a cellular backup on the firewall, and keep sign-in working through Conditional Access even when a site's circuit is down. Downtime procedures are written per location: how to read today's schedule, record care on paper and catch up later. Weather tests those plans. The August 2020 derecho left hundreds of thousands of ComEd customers in the dark, with the south suburbs hit hardest and some homes and offices out for days. Ransomware is the other test. Immutable backups sit outside Illinois, Microsoft 365 is backed up separately, and restores run on a schedule. Every one of the more than 30 ransomware incidents NetSys has worked in three years ended in full recovery.

Federal and Illinois rules for Chicago healthcare groups
HIPAA Security Rule (45 CFR Part 164, Subpart C)
The rule requires administrative, physical and technical safeguards for electronic protected health information, starting with an accurate and thorough risk analysis and a risk management plan, then access controls, audit controls, integrity protections and transmission security. The Office for Civil Rights has run a risk analysis enforcement initiative since October 2024. HHS's proposed Security Rule update, published January 6, 2025, remains a proposal, not current law, although its direction (asset inventories, multifactor authentication, encryption) matches what we already deploy.
42 CFR Part 2 for substance use disorder records
Programs that hold federally protected substance use disorder treatment records must meet the 2024 Part 2 final rule, whose compliance date was February 16, 2026. The rule aligns Part 2 more closely with HIPAA, including breach notification for Part 2 records and civil enforcement by the Office for Civil Rights. For IT, that means knowing where Part 2 records sit, restricting who can open them, and logging access well enough to support a breach assessment.
Illinois Mental Health and Developmental Disabilities Confidentiality Act (740 ILCS 110)
Illinois law is generally stricter than HIPAA for mental health records, and the Act requires specific written consent before most disclosures, with defined exceptions such as care coordination. Groups that combine primary care and behavioral health need the EHR and file shares set up so therapy records are not visible to everyone with a clinical login. We configure those boundaries in Microsoft 365 and document them alongside the EHR vendor's role settings.
Illinois PIPA and BIPA
Illinois' Personal Information Protection Act accepts HIPAA compliance from covered entities and business associates, on one condition: a breach reported to HHS also goes to the state Attorney General, within five business days. The Biometric Information Privacy Act excludes information collected for HIPAA treatment, payment or operations, and the state Supreme Court's 2023 Mosby v. Ingalls Memorial Hospital decision extended it to nurses scanning fingers at medication cabinets, while warning that the carve-out is narrow. This is general information, not legal advice.

Healthcare Organizations in Chicago: FAQs
What does healthcare IT support cost for a Chicago clinic network?
Each group's monthly per-user price follows a review of all its locations, and building out a new clinic is quoted on its own. Location count and circuits, any servers still running in a clinic versus a fully hosted EHR, the medical devices on the network, how much of the HIPAA program we document for you and whether an internal IT lead stays all affect it. Nothing ties you to a multi-year term.
How does IT support work for Chicago healthcare organizations?
Our Brooklyn team delivers it remotely and through the cloud. We monitor and patch every device, manage firewalls and VPN links at each location, run security tools and backups, and keep the HIPAA evidence current. Monitoring and emergency service run 24/7; the help desk is staffed seven days a week from 4 a.m. to 11 p.m. Eastern time. No NetSys engineer comes on site; equipment we have already configured is installed physically by your staff or contractors, and we bring each device into service remotely.
How do you run a HIPAA risk analysis across several locations?
Step one is a list of everything, at every clinic, that holds or moves patient data, then review threats, current safeguards, likelihood and impact for each. Findings go into one risk register with owners and dates, not a report per clinic. We revisit it at least once a year and whenever something major changes, such as a new location, an EHR change or an acquisition. Your privacy and security officers sign off; we supply the technical evidence.
What should a smaller Chicago provider learn from the 2024 Lurie Children's attack?
Plan for weeks, not hours. Lurie took phones, email and other systems offline on January 31, 2024, and some services took weeks to return. For a clinic group, that argues for written downtime procedures at each location, backups that attackers cannot delete, a contact list kept outside email, and an incident response retainer agreed before you need it. It also argues for limiting how far one stolen login can travel, which is what segmentation and Conditional Access are for.
Do Illinois biometric rules apply to finger-scan devices in our clinics?
It depends on the device's purpose. The Illinois Supreme Court held in Mosby v. Ingalls Memorial Hospital (2023) that BIPA's health care exclusion covered nurses' finger scans used to access medication cabinets for patient treatment, but it stressed the exclusion is narrow. A finger-scan timeclock used for payroll is a different question. We inventory every biometric device, document what it collects and where templates are stored, and give your counsel the facts needed to decide on consent and retention.
Can you work alongside our EHR vendor and a hospital partner's IT team?
Yes. Clinic networks usually depend on outside parties: the EHR and billing vendor, a hospital that shares records or reads images, lab and imaging interfaces, and payer portals. We act as the technical contact for each, open and track tickets, approve vendor remote access through controlled sessions, and keep a record of who connected and why. When a hospital partner requires security attestations before sharing data, we complete the technical sections and supply the supporting evidence.
