Medical Practice IT Support in Nassau County, NY
In a physician office near North Shore University Hospital or NYU Langone in Mineola, the day runs through the front desk: check-in, insurance eligibility, referrals in and out, prescriptions signed with a second factor and portal messages answered between patients. NetSys keeps those pieces working for doctor's offices across Nassau County, with engineers who come out from Brooklyn for anything that needs a person in the room.
The short answer
NetSys provides IT support for doctor's offices and physician practices in Nassau County. We look after the front-desk PCs, card scanners and label printers, access to the practice's EHR and billing system, e-prescribing credentials and tokens, patient portal sign-in security, phones and Microsoft 365, and we document HIPAA safeguards as the work is done. The county is inside our on-site coverage: most fixes happen remotely, and an engineer visits for workstations, printers, network changes and exam-room setup. Fees are per user per month, and the agreement runs month to month.

A physician office's day, from check-in to e-prescribing
Nassau's doctor's offices cluster around its hospitals: near North Shore University Hospital in Manhasset and along Northern Boulevard in Great Neck, around Long Island Jewish Medical Center at the Queens line, close to NYU Langone Hospital-Long Island and its medical school in Mineola, and near Mount Sinai South Nassau in Oceanside. Federal labor data show physician offices holding a share of county jobs about 1.4 times their national share. A typical office of four doctors depends on a short chain of small systems. The front desk scans insurance cards, checks eligibility on payer websites, takes copays on a card terminal and prints labels. Referrals arrive by fax, by e-fax into the EHR and through hospital portals, and outgoing referrals need the right records attached. New York requires prescriptions to be sent electronically, and a controlled substance needs a registry check before it is prescribed and a second authentication factor when it is signed. Then there is the patient portal, where messages, results and record requests arrive all day. When any link fails, the waiting room fills, so we design each one with a fallback.
How a Nassau doctor's office gets help, remotely or on site
Front-desk problems are usually software problems, so the first response is remote: a frozen check-in PC, a label printer that lost its driver, an e-prescribing token that stopped syncing or a scanner that no longer files into the chart. The help desk picks up every day, 4 a.m. through 11 p.m. Eastern, so the office manager can call before the first patient and after evening hours, and our monitoring watches the network and devices continuously. Severe problems such as an EHR outage, ransomware or a dead circuit go straight to your dedicated engineer. On-site visits cover new exam-room workstations, printers, network closets and Wi-Fi. From Park Slope, Manhasset and Great Neck are roughly 40 to 45 minutes by car and Mineola about 45, and we book visits at lunch or after hours when we can so the schedule is not disturbed.
Referrals, faxes and the patient portal
Referral traffic is where patient information most often leaks. We route inbound fax to a secure e-fax service or the EHR's document queue instead of a paper tray, so nothing sits on a machine by the door, and outbound referrals go through encrypted email or the hospital portal rather than a personal mailbox. Staff who use hospital portals get named accounts, which we remove the day they leave. The patient portal needs the same care: phishing aimed at patients and staff, password resets that must be verified, and record requests that HIPAA requires the practice to act on within 30 days. Billing is the other dependency. After the February 21, 2024 attack on Change Healthcare, many practices lost their usual claims path, and the AHA found 83% of hospitals it surveyed reported a cash-flow impact. We document the clearinghouse and a backup route before you need one.
Phishing, outages and the paper fallback
A physician office needs a plan for the hour when nothing works. We keep a downtime kit at the front desk: tomorrow's schedule printed or exported each evening, blank encounter forms, pharmacy and lab phone numbers, and the steps for documenting a prescription sent another way during a system failure. Power and connectivity come next. When Isaias came through in August 2020, Nassau reported 135,000 outages the next morning, so the network gear and the check-in PC sit on battery, and a cellular backup keeps phones and the cloud EHR reachable. Phishing is the daily threat, most often a fake payer or EHR login page, so ThreatDown, Barracuda filtering, multifactor authentication and quarterly KnowBe4 tests stay on. NetSys has worked more than 30 ransomware cases in the past three years, and all of them ended in full recovery.

Rules a Nassau medical office works under
HIPAA right of access (45 CFR 164.524)
Patients may request their records, and the practice must act within 30 days of receiving the request, with one extension of up to 30 more days if it explains the delay in writing before the first deadline. When the record is electronic and the patient asks for an electronic copy, it must be provided in the form and format requested if readily producible. The patient portal and release-of-information workflow are how most offices meet those deadlines, so we keep both working and logged.
Electronic prescribing (Public Health Law section 281)
New York bars issuing a prescription other than electronically, with exceptions that include a temporary technological or electrical failure, a waiver of up to a year and practitioners who certify they will issue no more than 25 prescriptions in a 12-month period. When a controlled substance is prescribed on paper because of a failure, the chart must say so. E-prescribing therefore depends on working credentials, a stable network and a downtime procedure everyone knows.
PMP Registry and two-factor signing
Before prescribing a Schedule II, III or IV controlled substance, a practitioner must consult the state's prescription monitoring registry under Public Health Law section 3343-a, and may use a designee employed by or under contract with the practice. Signing the electronic prescription requires two of three factors under 21 CFR 1311.115, one of which can be a hard token kept separate from the computer. Token setup and replacement are part of onboarding for each new prescriber.
New York SHIELD Act
Under General Business Law section 899-aa, a practice has 30 days after discovering a breach to tell affected New Yorkers, and patients who already received a HIPAA notice are not owed another one, though the state is still informed. Section 899-bb treats a practice that is subject to and complies with HIPAA as compliant with its safeguards duty, so the HIPAA program doubles as the state program. Medical Practices in Nassau County: FAQs
Who provides IT support for medical offices in Nassau County?
NetSys supports physician practices across Nassau County, from solo internists to multi-doctor specialty offices, out of our office in Park Slope, Brooklyn. We handle the front desk, exam-room PCs, printers, phones, Microsoft 365, the network, security and backups, and we work with your EHR and billing vendors on application issues. The office manager gets a named account manager with a direct cell number, and the agreement can end any month.
Do you provide on-site IT support for medical practices in Nassau County?
Yes. Doctor's offices anywhere in the county are inside our in-person coverage, including the medical buildings around Manhasset, Great Neck, Mineola, Garden City and Oceanside. Engineers come on site for exam-room and front-desk workstations, printers and scanners, network closets, Wi-Fi and office moves. Day-to-day problems, like a frozen check-in screen or a token that will not sync, are solved remotely first, and we schedule visits around clinic hours.
What does IT support cost for a physician practice in Nassau County?
Pricing is per user per month, set after an assessment of the office. The number of providers and staff, the exam-room and front-desk devices, whether the EHR is hosted or on a local server, the phone system, the number of offices and how much HIPAA paperwork you need us to produce all affect it. One-time work, such as wiring a new suite or replacing a server, gets its own quote. Nothing locks you in, and there is no rate card, because two offices of the same size can need very different scope.
What happens when e-prescribing or the EHR goes down during clinic hours?
First, the downtime kit comes out: the printed or exported schedule, paper encounter forms and the documented steps for prescribing during a system failure, including the chart note New York requires for a controlled substance issued that way. Meanwhile your dedicated engineer works the cause, which could be the circuit, a local server, the EHR vendor or the e-prescribing service, and calls the vendor where it sits on their side. Afterwards we record what happened and adjust the fallback.
Do you support our EHR and billing software?
We support what it runs on and connects through: workstations, browsers and plug-ins, scanners and signature pads, the network, the local server if there is one, and the backups. Anything broken inside the application itself goes to the EHR or billing vendor, and we open and manage that case so your staff can keep seeing patients. We are not the EHR vendor's support team, but we keep a record of every vendor ticket so recurring faults get escalated.
How do you secure patient portal and front-desk logins?
Every staff member gets a named account, because shared front-desk logins break the HIPAA audit trail. We turn on multifactor authentication wherever the EHR, portal administration and Microsoft 365 support it, use Keeper so staff stop writing passwords on sticky notes, and set screens to lock when someone steps away. For patients, the portal's password reset process is checked so a caller cannot take over an account by phone, and phishing that imitates the portal is filtered by Barracuda before it reaches staff inboxes.
