Managed IT Services in Cambridge, MA

A Cambridge company often outgrows its IT before it outgrows its lease: a spin-out leaves an incubator bench, hires its twentieth person and suddenly owns laptops, a Microsoft 365 tenant, instrument PCs and data-room permissions. NetSys is the managed service provider that runs all of it remotely, for one monthly fee per user and with no long contract.

The short answer

NetSys is a managed service provider for businesses in Cambridge, Massachusetts, from Kendall Square biotech startups to law and consulting offices around Harvard Square. One per-user monthly fee covers the help desk, Intune-managed laptops, Microsoft 365, ThreatDown managed detection and response, backups with tested restores, the firewall and Wi-Fi, and calls to your vendors. Support is remote and cloud-based only; NetSys has no engineers working on site in Cambridge. Monitoring and emergency service run 24/7; the help desk is staffed seven days a week from 4 a.m. to 11 p.m. Eastern time. The agreement runs month to month.

How managed IT is delivered in Cambridge

Cambridge clients are managed from our Brooklyn office through agents and cloud consoles rather than a technician's van: NinjaOne on each computer, Intune on each laptop and phone, the Meraki or Fortinet dashboard for the firewall and access points, and admin rights to the Microsoft 365 tenant. We do not send engineers on site in Cambridge, which also spares you the badge requests, escorts and insurance certificates that many lab buildings demand before an outside contractor reaches a telecom room. New hires' laptops leave the supplier already registered for Windows Autopilot and set themselves up when the employee first signs in. Network equipment arrives set up for your facilities lead, the building's low-voltage contractor or a coworking operator's staff to plug in, while our engineer watches it join the network. Monitoring runs 24/7 from Brooklyn, and so does emergency service. Our staffed help-desk hours are 4 a.m. to 11 p.m. Eastern time, seven days a week. The proposal states severe-incident escalation, authorized remediation and any other after-hours work.

Kendall Square startups and the IT that comes after the incubator

Kendall Square is the center of the region's life-sciences industry. The City of Cambridge counts more than 400 life-sciences and high-tech firms with headquarters or facilities in the city, and nine of the ten largest biotech companies keep a headquarters or major office there. Many smaller tenants started at LabCentral at 700 Main Street, The Engine at 750 Main Street or the Cambridge Innovation Center at One Broadway, where the Wi-Fi, printers and network came with the desk. Moving into a first private suite means owning that infrastructure: a firewall, separate networks for instruments and guests, an identity system that removes a departing scientist's access the day they leave, and a way to show investors and partners that data is controlled. We build that as part of the managed agreement and keep running it as headcount grows.

Lab instruments, research data and the office network

A lab puts machines on the network that an ordinary office never sees: instrument control PCs running the Windows build the manufacturer validated, sequencers and plate readers that write large files to shared storage, freezer and incubator monitors, and contract research partners who need controlled access. We keep those devices on their own network segment, with firewall rules that let data reach storage and nothing else. The office side is patched on a normal monthly cadence and the instrument side on the schedule its vendor supports, and research file shares are backed up separately from email. An electronic lab notebook and instrument software are supported at the infrastructure level, meaning accounts, permissions, connectivity and backups, while the vendor handles the application. Windows 10 reached end of support on October 14, 2025, so instrument PCs still running it need either isolation or an upgrade plan.

Lab space changing hands, and what an office move involves

Cambridge real estate has been moving in both directions. Alexandria Real Estate Equities paid $120 million for three lab floors at 1 Hampshire Street in 2022, and in August 2026 Draper, the nonprofit engineering lab, bought them back for $45 million. Hoodline's reporting put robotics, defense and AI hardware companies at about 30 percent of Boston-area lab leasing in 2025. For a growing company that means more sublease offers, shorter terms and more moves between Kendall, Alewife and Cambridge Crossing. Each move is an IT project: a new circuit ordered weeks ahead (Comcast Business and Verizon Fios are the options to check at most addresses), the firewall and Wi-Fi configured before the date, phones and printers repointed, and the old suite's equipment wiped. We plan it remotely and work with your movers and cabling contractor so people can sign in on the first morning.

201 CMR 17.00 and the security questions partners ask

Any Cambridge company that holds a Massachusetts resident's name together with a Social Security, driver's license or financial account number, which includes every employer running payroll, falls under 201 CMR 17.00. The regulation expects a written information security program, and section 17.04 lists the computer controls: unique user IDs and secure passwords, access limited to people who need it, encryption of personal information on laptops and across public networks, reasonable monitoring, current firewall protection and operating system patches, malware protection and staff training. A managed agreement covers most of that list directly through BitLocker under Intune, Conditional Access, NinjaOne patching, ThreatDown and KnowBe4. Startups meet the same questions again in security questionnaires from pharma partners and investors, and the evidence we keep in IT Glue answers both.

Published case study

Law office: Microsoft 365 with layered security and cloud-to-cloud backup

A 25-attorney firm in the greater New York metro was losing unbillable hours to an outdated file server and an email server that needed weekly attention. NetSys mapped the firm's matters and document workflows first, moved email to Exchange Online and documents to SharePoint and OneDrive in a matter-based structure over a weekend cut-over, layered anti-phishing protection, DNS filtering, multifactor authentication and endpoint protection across attorney devices, and set independent cloud-to-cloud backup of the whole tenant. The firm reported 82% fewer IT support incidents per month within two quarters and about 3.5 hours per attorney per week recovered from IT friction.

What managed IT costs in Cambridge

Managed IT is priced per user per month for a fully managed agreement, and the number moves with four things more than with headcount: how many servers you run, whether you need after-hours coverage beyond monitoring, how much compliance documentation you carry, and whether we are co-managing alongside an internal person or running everything. We quote from an assessment, not a phone call, and the agreement runs month to month. What belongs in the monthly fee versus what is billed separately is set out on our managed IT pricing page.

How the monthly fee is built

Who this fits, and who it does not

Best fit: 10 to 75 employees, one or two offices plus remote staff, already on Microsoft 365 or ready to move there, and either no internal IT or one person who is underwater.

Common Questions

Managed IT Services in Cambridge: FAQs

How does managed IT work for Cambridge organizations?

Your team reaches the help desk by phone, email or Teams, and an engineer connects remotely to fix the problem, usually during the first call. Monitoring and emergency service run 24/7; the help desk is staffed seven days a week from 4 a.m. to 11 p.m. Eastern time. A severe problem such as ransomware, a dead internet circuit or email that stops working goes straight to your dedicated engineer. We do not work on site in Cambridge, so equipment ships ready and someone in your suite connects it with our guidance.

What does a managed service provider in Cambridge cost?

The fee is per user per month, set after an assessment rather than taken from a price sheet. For Cambridge companies the biggest variables are lab networks and instrument PCs, the number of devices each person uses, compliance work such as HIPAA or NIST SP 800-171, any servers kept in the office, and whether a staff member keeps part of IT. A 15-person software startup and a 15-person lab with instruments can come out quite differently. Hardware, licensing and projects like an office move are quoted on their own.

We are a 12-person spin-out. Is managed IT too early?

Usually it is the right moment, because the decisions made at 12 people are the ones that are expensive to undo at 60. Setting up the Microsoft 365 tenant, Intune enrollment and Conditional Access properly now means new hires get a working laptop on day one and departures lose access the same afternoon. It also means the security questionnaire in your next partnership or financing round has real answers. If you are not ready for the full service, IT support alone or a one-time setup project is an option.

Who owns our accounts and documentation if we change providers?

You do. Administrative accounts in your Microsoft 365 tenant, firewall and backup system are created in your company's name, and break-glass credentials are stored where your leadership can reach them. IT Glue holds the documentation we build, covering devices, licenses, circuits, vendors and configurations, and it is exported to you on request or when you leave. Agreements run month to month, so if the service stops earning its fee you can give notice and we help the next provider take over cleanly.

Which Massachusetts rules apply to our company's data?

Two matter most. 201 CMR 17.00 requires a written information security program with the technical controls in section 17.04, scaled to your size and the data you hold. Chapter 93H, section 3 of the General Laws requires a business that suffers a breach to notify the Attorney General, the Office of Consumer Affairs and Business Regulation and affected residents as soon as practicable and without unreasonable delay. Companies handling patient data add HIPAA, and defense research adds NIST SP 800-171. This is general information, not legal advice.
